This position performs administrative support by answering and directing incoming calls, greeting visitors at the reception desk, and various other clerical duties.

Requirements

  • Requires High School Diploma or equivalent
  • Exceptional oral communication skills.
  • The ability to come across in a professional manner.
  • Basic computer knowledge to send and answer email, check telephone directory and prepare correspondence.
  • Good telephone etiquette and ability to respond to routine telephone inquiries.
  • Less than one year of experience operating a switchboard and working in an office setting handling multiple tasks in an environment where interruptions occur regularly

Responsibilities

  • Operating telephone switchboards in the company lobbies to answer and direct incoming calls and placing outgoing calls.
  • Assisting internal and external callers with call routing by identifying proper extensions and directing calls.
  • Welcoming and directing visitors by identifying visitor needs.
  • Contacting receiving host(s).
  • Following proper log-in and log-out protocols.
  • Preparing and maintaining the Visitor Board.
  • Maintaining and issuing headsets/receivers and transmitters for planned visits when requested.
  • Maintaining a safe and clean reception area.
  • Opening and securing the lobby area at the start and end of the assigned shift.
  • Assisting the Office Services group which may include receiving incoming packages, delivering and picking up mail, etc.
  • Cross-training on mailroom tasks
