Provides secretarial support to department, and technical support to outside departments, by performing a variety of moderately difficult to complex duties.
First contact for Tech Support calls, emails and walk-ins.
Manages Tech Support Requests through Electronic Ticket System and assigns to tech staff based on their load and availability.
Resets passwords on Windows Active Directory Tribal network and Cisco Phones.
Manages E911 service plan with the 911 service for all departments managed by Technologies for emergency response.
Manages Auto-Attendant and Holiday schedule for the Tribal Phone System, working directly with the Administrative Manager and Department Directors.
Works with vendor senior account reps ordering telephone service, copper and fiber data lines, and account reconciliation/disputes.
Manage the department‘s technical equipment purchasing process; including obtaining price quotes from vendor senior account reps, assigning accounting codes, submitting purchase requisitions and tracking orders.
Maintains Departmental Budget, makes recommendations for budget cycle, forecasts spending and provides recommendations and feedback for budget modifications.
Provides department directors with order status and verification of technical asset requests.
Orders departmental supplies.
Answers and routes all incoming calls for the department, or takes messages.
Collects and logs incoming correspondence, such as mail, email, or facsimiles, and distributes appropriately.
Receives documents into work processes by classifying each document with unique identification number.
Performs other duties as assigned.
High school diploma or general education degree (GED); and at least four years of related experience and/or training; or equivalent combination of education and experience.
Intermediate experience with Microsoft Office Suite including word processing, spreadsheets and database applications.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Experience with taking minutes, transcription, purchasing and report generation.
Must have and maintain a valid and unrestricted driver’s license and proof of automobile insurance.
Must maintain confidentiality at all times.
Must demonstrate an ability to work with individuals at all levels of the organization.
