About The Position

We are seeking an Administrative Assistant / Technical Editor to support our growing environmental consulting team in our Princeton, NJ office. This position plays a critical role in both office operations and the production of high-quality, client-ready technical deliverables. The ideal candidate is highly organized, detail-oriented, and experienced in editing, formatting, and quality control of professional reports and proposals in a fast-paced consulting environment.

Requirements

  • Bachelor’s degree preferred, or equivalent combination of education and relevant experience
  • Three or more years of experience in administrative support, technical editing, document production, or a related role
  • Advanced proficiency in Microsoft Office, with a strong emphasis on Microsoft Word
  • Excellent writing, editing, and proofreading skills with exceptional attention to detail
  • Ability to manage multiple priorities and deadlines in a fast-paced, deadline-driven environment
  • Strong organizational, communication, and interpersonal skills
  • Ability to work on-site in the Princeton, New Jersey office

Nice To Haves

  • Experience supporting environmental consulting, engineering, scientific, or regulatory teams
  • Advanced Microsoft Word skills, including styles, templates, section breaks, and automated tables of contents
  • Experience with Adobe Acrobat for PDF editing, markup, and quality control
  • Familiarity with proposal development processes and technical deliverable workflows
  • Experience working with GIS figures, technical exhibits, or plan sets

Responsibilities

  • Provide administrative support to the Princeton office and project teams
  • Coordinate meetings, schedules, travel, and internal communications as needed
  • Support onboarding logistics and general office coordination
  • Maintain office supply inventory and assist with shipping, mail, and courier coordination
  • Edit, format, and produce technical reports, proposals, and other client deliverables
  • Ensure documents meet Terraphase standards for grammar, clarity, consistency, and branding
  • Compile and manage multi-author documents, including version control
  • Create and format tables, figures, exhibits, appendices, and other supporting materials
  • Perform final quality control reviews prior to submittal, ensuring completeness, accuracy, and formatting consistency
  • Support project managers and technical staff in meeting document production schedules and deadlines
