About The Position

The Pathologist Office Assistant Supervisor provides hands-on leadership and actively participates in the daily operations of the Pathology Office Assistant team. This role ensures accurate case documentation, efficient communication, and timely workflow progression to support pathology operations, quality, and turnaround time. The POA Supervisor oversees day-to-day POA activities, supports staff performance, and serves as the primary point of contact for POA-related workflow and documentation issues. In collaboration with pathology leadership and laboratory partners, this role supports process improvements that enhance operational efficiency and consistency. Requirements

  • Must be flexible with hours to meet work flow demands.
  • Ability to type a minimum of 45 wpm with minimal errors is preferred.
  • Must possess attention to detail, excellent customer service, communication and organizational skills.
  • Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
  • Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
  • Ability to understand physician’s instructions and know when to seek additional information or clarification.
  • Ability to receive and apply constructive feedback from supervisors while also providing clear, respectful, and constructive guidance to team members.

  • Must remain compliant with HIPAA, OSHA, and CLIA requirements.
  • Ability to maintain confidentiality of information.
  • Required Education: High School Diploma or GED
  • Minimum Years Related Experience: 2+ Years

Responsibilities

  • Troubleshoot and address / resolve or escalate case, or personnel issues from the team.
  • Manages team schedule, timesheets, including leading team meetings, PTO and maintains adequate coverage.
  • Report regularly to manager / senior leaders on team performance, attendance, staffing needs and identify and implement process improvements.
  • Facilitate recruitment, onboarding, and training of new team members.
  • Responsible for team compliance with HIPAA, OSHA, and CLIA regulations, escalating issues as appropriate.
  • Completes and manages 90-day and annual performance reviews to enhance employee performance, accelerate productivity, and foster continuous team development through targeted feedback and coaching.
  • At the direction of the pathologist, input billing codes, process internal/external consults in LIS / with send out bench and contact lab / external facilities when required.
  • Communicate effectively with pathologists, lab leadership, shift leaders, clinic staff, department staff, and external laboratories to address requests, corrections, and case status updates.
  • Navigate and utilize LIS, NextGen, and EHR system.
  • Perform other related duties as assigned
