Talent Operations Specialist

Coalition, Inc.
5h$70,000 - $105,000Remote

About The Position

The Talent Operations Specialist plays a critical role in enabling Coalition’s global hiring engine and delivering an exceptional candidate experience. This is a highly execution-oriented role for someone who likes to own problems, move fast, and get things done—even when the path forward isn’t obvious. You’ll be at the center of interview orchestration, candidate experience, and operational excellence across the People & Talent organization. This role is ideal for an early-career operator who thrives on creating momentum and impact, and who wants to grow into a broader Talent role over time. You’ll work cross-functionally with Recruiters, Hiring Managers, Marketing, and People partners, helping define how Coalition attracts, engages, and supports top talent globally. We’re looking for someone who operates comfortably in EST hours to support stakeholders across the U.S. and Europe.

Requirements

  • 2+ years of experience in Operations, Recruiting coordination or a related role.
  • Experience coordinating interviews and managing complex calendars across multiple time zones (U.S. and Europe).
  • At least 1 year of hands-on experience with an ATS (e.g., Greenhouse).
  • Clear, professional communicator who builds trust with candidates and stakeholders and handles confidential information with discretion.
  • Strong operational instincts with a bias for action and execution in fast-paced environments.

Nice To Haves

  • Experience in a startup or high-growth environment.
  • Familiarity with tools such as Greenhouse, GoodTime, LinkedIn Recruiter, Workday, and Jira Service Desk.
  • Exposure to employer branding, social media, or careers site content.
  • Experience experimenting with or supporting AI-enabled recruiting or scheduling tools.
  • Multilingual skills or experience working with global teams

Responsibilities

  • Own end-to-end interview coordination across multiple time zones, ensuring a seamless, high-touch experience for candidates and interview teams.
  • Act as a trusted, proactive partner to Recruiters and Hiring Managers—anticipating scheduling challenges, resolving issues quickly, and keeping processes moving forward.
  • Serve as the frontline owner of Talent Operations requests, triaging and resolving Jira tickets related to interview logistics, systems, and role setup in line with SLAs.
  • Maintain a clean, accurate, and reliable Applicant Tracking System (ATS), ensuring data integrity and smooth handoffs across the hiring lifecycle.
  • Follow, reinforce, and continuously improve coordination playbooks, communication standards, and operational workflows.
  • Partner with Marketing to support employer branding initiatives, including social media, careers site content, and talent attraction projects.
  • Actively identify opportunities to improve efficiency through tooling, automation, and process improvements—especially through responsible use of AI-enabled tools.
  • Stay curious and current on emerging Talent and AI tools, contributing to lightweight enablement and best practices for the team.

Benefits

  • 100% medical, dental and vision coverage
  • Flexible PTO policy
  • Annual home office stipend and WeWork access
  • Mental & physical health wellness programs (One Medical, Headspace, Wellhub, and more)!
  • Competitive compensation and opportunity for advancement
