About The Position

Entegris is seeking a Talent Acquisition Operations Specialist to join our global Talent Acquisition team based in Billerica, MA. In this role, you will be the face of Entegris to candidates, ensuring an exceptional experience from interview scheduling to onboarding. You will manage key recruiting operations such as coordinating interviews, arranging candidate travel, pre-hire processing, managing vendor expenses, and maintaining accurate records in our Applicant Tracking System. Beyond day-to-day support, you will play a strategic role in improving Talent Acquisition processes, analyzing data for trends, supporting global mobility programs, and collaborating with cross-functional teams like Marketing, HRIS, and Legal. The ideal candidate is detail-oriented, proactive, and passionate about delivering outstanding service while driving operational excellence across global Talent Acquisition initiatives.

Requirements

  • Experience : 1+ years in an administrative or support function within a fast-paced, high-volume environment.
  • Location : Willing and able to work 3 days/week onsite at our Global Headquarters in Billerica, MA.
  • Technical Skills : Proficiency in Microsoft Office; experience with Applicant Tracking Systems.
  • Customer Service : Proven track record of delivering exceptional candidate and stakeholder experiences.
  • Confidentiality : Ability to handle sensitive information with discretion and professionalism.
  • Analytical Skills : Strong data analysis capabilities to support critical thinking and process improvements.
  • Decision-Making : Demonstrates initiative and sound judgment in problem-solving and decision-making.
  • Communication : Outstanding interpersonal, verbal, and written communication skills.
  • Time Management : Exceptional organizational skills; proactive with a strong sense of urgency.
  • Global Experience : Comfortable working with global teams and navigating cross-cultural dynamics. Occasional North America evening calls may be required.

Responsibilities

  • Support the recruiting team by scheduling interviews and coordinating logistics.
  • Arrange travel and accommodations for candidates as needed.
  • Process vendor expense invoices promptly and accurately.
  • Serve as a champion for the candidate experience, ensuring a smooth onsite and pre-boarding process.
  • Maintain the Applicant Tracking System (Workday) and other Talent Acquisition platforms to ensure complete candidate records and accurate tracking of the recruitment process.
  • Manage offer letter preparation and oversee the new hire onboarding process.
  • Facilitate the background screening process for all new hires.
  • Partner with internal support teams to deliver a seamless onboarding and Day 1 experience.
  • Assist with Talent Acquisition KPI calculations, reporting, and metrics for global TA functions.
  • Support the global mobility program as needed to ensure smooth transitions for expats and relocating employees.
  • Analyze Talent Acquisition data to identify trends and propose global solutions.
  • Aid our PERM recruitment efforts, ensuring the company stays compliant with DOL regulations.
  • Collaborate effectively with cross-functional teams such as Marketing, HRIS, and Legal to ensure alignment on global talent acquisition initiatives.
