The Talent Acquisition Operations and Applicant Tracking System (ATS) Administrator leads the strategic, technical, and operational performance of the iCIMS Talent Cloud and core recruiting processes. This role blends deep system expertise with strong leadership, communication, and project management skills to drive scalable, high-impact operations. Acting as a collaborative problem-solver and trusted advisor, this individual partners closely with TA leadership, recruiters, and cross-functional teams to streamline workflows, enhance the candidate and hiring manager experience, and ensure compliant, data-driven processes. This person balances hands -on system administration with stakeholder engagement, change management, and continuous improvement to support the long-term success of the Talent Acquisition and Onboarding functions.

Requirements

  • Bachelor’s Degree Major: HR, Business, or related field of study
  • Degree must be from an accredited college or university.
  • In lieu of higher education, the ratio is 1:1 meaning one year of college equals one year of work experience and vice versa.
  • 3+ years in Talent Acquisition operations, HR systems, or recruiting technology roles.
  • 2+ years of advanced, hands-on experience with iCIMS (workflows, dashboards, and reporting configuration).
  • Must have solid experience in recruiting process, compliance, audit activities, and Talent Acquisition operations.
  • Strong project management skills with the ability to lead initiatives and drive cross-functional alignment.

Responsibilities

  • Support, maintain, and optimize end-to-end recruiting and onboarding workflows, automation, communication templates, and statuses.
  • Implement process improvements to reduce time-to-fill, improve recruiter efficiency, and enhance the candidate experience.
  • Identify operational gaps and lead continuous improvement initiatives across the TA lifecycle.
  • Serve as the primary administrator for the iCIMS Talent Cloud, overseeing configuration, requisition templates, workflows, permissions, and integrations.
  • Maintain system accuracy through data audits, cleanup, updates, and testing of enhancements or new features.
  • Troubleshoot system issues and partner with TA leadership or iCIMS vendor support for escalations.
  • Build and manage dashboards, reports, and metrics to track hiring performance, pipeline trends, and compliance.
  • Use data insights to identify bottlenecks, recommend solutions, and inform recruiting strategy.
  • Support the Team and VP with data requests inside and outside of iCIMS
  • Act as the subject matter expert (SME) for iCIMS functionality and TA operational support.
  • Develop and maintain documentation, SOPs, user guides, and training materials.
  • Train new and existing users on best practices and system navigation.
  • Manage updates to TA and SharePoint content
  • Lead or support TA projects involving new tools, integrations, system enhancements, or process rollouts.
  • Partner with HR, HRIS, onboarding, and business leaders to drive alignment and ensure project success.
  • Influence decision-making through strong communication, relationship-building, and problem-solving skills.
