Requirements

  • Associate's degree from an accredited college or university.
  • Education and experience may substitute for one another.
  • Two (2) years of full-time directly related progressively responsible experience in human resources or related experience.
  • Knowledge of: Human resources principles and practices.
  • Skills in: Strong computer skills including Microsoft Outlook, Word, Excel, Power Point and Teams.
  • Effective written and verbal communications, including preparing and delivering complex correspondence, reports, presentations, and proposals.
  • Ability to: Maintain employee confidentiality.
  • Provide quality customer service.
  • Establish and maintain harmonious working relationships with co-workers, agency staff and external contacts, and to work effectively in a professional team environment.

Nice To Haves

Responsibilities

  • Works with the Talent Acquisition team to assist with candidate communication including administering pre-employment screenings, scheduling interviews, communicating with applicants, and completing reference checks.
  • Completes Talent Acquisition administrative tracking such as cataloging interview notes, pre-employment testing, and updating personnel files.
  • Assists the Talent Acquisition team to utilize online resources to attract qualified candidates such as social media, talent databases, job boards and other resources.
  • Assists with employee recognition programs.
  • May attend recruitment events and participate in special recruitment efforts.
  • Works with candidates to ensure onboarding documentation is completed prior to their start date including assistance trouble shooting technical issues involving HRIS and answering logistical questions regarding New Employee Orientation.
  • Assists with the planning and implementation of New Employee Orientation including coordinating presenters, updating presentation slides, and communicating logistics with participants.
  • Creates, audits, and maintains new employee files and assists with electronic file creation.
  • Coordinates with the Talent Acquisition team to prepare candidate and employee status change actions and related documents including selection emails. Secures required approvals and tracks outgoing/incoming documents.
  • Administers the recruitment bonus process including intake of the initial request, request preparation, approval routing, status notifications, and log maintenance.
  • Performs position maintenance in HRIS to include updating and creating new positions for job requisitions and new hire activity.
  • Assists the Talent Acquisition team with the creation and revisions of requisition templates in HRIS.
  • Coordinates terminations with the Talent Acquisition team including entering termination tickets, processing termination actions administratively, ensuring exit documentation is completed by employees, and entering I9 and DPS termination dates.
  • Maintains and supports any additional HR databases or files (electronic and physical documents).
  • Facilitates the termination process including coordination of retirement acknowledgements; ensuring exit documentation is completing by employees, and entering termination tickets.
  • Performs routine data entry into HRIS utilizing appropriate resources and ensuring accuracy of system changes.
  • Processes documentation and maintenance of processes, checklists and job aids related to Talent Acquisition
  • Prepares monthly and ad-hoc reports.
  • Acts as the team records retention liaison and performs regular and annual document disposition activities.
  • Assists OE team in responding to general employee inquiries, requests, and assists with day to day operations.
  • Assists in the development of standard reports for departmental needs.
  • Assists with division-wide committees, events, and special projects including employee recognition programs and events.
  • Provides general administrative support to other Organizational Excellence (OE) staff and program areas, including preparing correspondence, forms, and other documents.
  • Provides back-up support to other OE Coordinator positions to ensure continuity of operations during staff absences and peak periods.
