Interested in joining us on our journey? Talent Acquisition (Recruiting) Coordinators are an integral part of the Talent Acquisition team and the overall recruitment process. This role is responsible for delivering a seamless exceptional experience for candidates, recruiters, hiring managers, and HR partners throughout the interview, pre-employment, onboarding, and new hire process. The Talent Acquisition Coordinator also supports recruiting operations, reporting, team coverage, and special projects as needed.

Requirements

  • Bachelor’s degree or equivalent experience in Human Resources or a related field.
  • Previous experience in recruitment coordination, HR administration, or a similar support role preferred.
  • Strong customer service orientation with the ability to work effectively with candidates, recruiters, hiring managers, and leaders at all levels.
  • Excellent organizational skills with proven ability to manage multiple priorities and high volumes of detail-driven work each day.
  • Demonstrated ability to handle repetitive, time-sensitive coordination tasks with accuracy and consistency.
  • Strong follow-up skills and sense of urgency.
  • Flexibility and adaptability in a fast-paced, deadline-driven environment.
  • Excellent verbal and written communication skills, including professional email and phone communication.
  • Strong presentation and public speaking skills; comfortable facilitating orientation sessions both in person and virtually.
  • Strong problem-solving, time management, and organizational skills.
  • Self-motivated with the ability to manage day-to-day responsibilities independently.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Teams.

Nice To Haves

  • Experience with Workday or another Applicant Tracking System (ATS).
  • Previous Talent Acquisition experience supporting offer letters, interview coordination, and pre-employment activities.

Responsibilities

  • Interview Scheduling & Candidate Coordination
  • Manage interview scheduling for assigned client HR groups and hiring teams.
  • Coordinate complex interview calendars, including scheduling, rescheduling, and resolving conflicts quickly and accurately.
  • Serve in a highly detail-oriented coordinator capacity, managing repetitive and time-sensitive scheduling tasks with strong follow-through and a high level of accuracy.
  • Provide a seamless experience for candidates, hiring teams, and HR partners throughout the scheduling process.
  • Partner with interview teams to align calendars and keep multiple moving pieces organized in a fast-paced environment.
  • Contact candidates to confirm availability and collect travel information when applicable.
  • Arrange travel accommodations for candidates attending in-person interviews at Appliance Park or affiliate sites, as needed.
  • Confirm interview schedules and send candidate communications in a timely, professional manner.
  • Greet candidates and escort them to interview locations for onsite interviews.
  • Onboarding & Pre-Employment Support
  • Use Workday to create and customize offer letters with approved language, as requested.
  • Proofread offer letters for accuracy and coordinate with HR Managers and Recruiters on offer details.
  • Facilitate pre-employment activities within Workday and through third-party systems.
  • Request, track, and monitor the completion of background checks, drug screens, and medical testing, when applicable.
  • Maintain regular communication with candidates regarding status updates, required documentation, and next steps.
  • Create and send all pre-employment communications.
  • Ensure company assets and badges are ordered and available for new hires on Day 1.
  • Greet new hires at the Visitors Center or assigned location on their first day.
  • Complete I-9 and E-Verify processes in compliance with company and legal requirements.
  • Coordinate I-9 verification for remote employees, ensuring an authorized company representative is scheduled with the new hire.
  • Conduct virtual and in-person Day 1 orientation sessions, tours, and Q&A support for new hires.
  • Candidate Experience
  • Provide positive, professional, and service-oriented experience for candidates throughout the recruitment lifecycle.
  • Address candidate inquiries promptly and resolve issues or concerns with urgency.
  • Serve as a dependable point of contact for candidates during interview scheduling and pre-employment processes.
  • Recruitment Metrics & Reporting
  • Generate reports and analytics related to recruitment activities, including open positions, candidate status, and process metrics.
  • Identify opportunities to improve recruitment coordination processes and recommend solutions to enhance efficiency and effectiveness.
  • Team Support & Project Work
  • Work collaboratively with a team of six (6) Coordinators and provide coverage during vacations, absences, and peak recruiting periods.
  • Manage recruiting email inboxes and respond to applicant inquiries.
  • Lead and/or support other Talent Acquisition projects and operational initiatives as assigned.
