About The Position

The Talent Acquisition Associate is a lead ambassador for the Talent & Culture team acting as first contact and liaison for all human resource functions of the College. This includes administrative support for talent acquisition, compensation, benefits, Faculty Quality Assurance System (FQAS), employee on-boarding and off-boarding, employee relations and communications, and other areas of Talent & Culture. This position focuses on ensuring applicants have an amazing experience throughout the entire recruitment process and supports all areas of the Talent & Culture Department.

Requirements

Knowledge of required employee training (e.g., IX, FERPA, Blood Borne Pathogens, Hazard Communication, etc.)
Knowledge of common personnel documents and forms (e.g., I9, W4, WT-4, Confidentiality).
Knowledge of electronic record keeping processes and retention.
Ability to work independently and as a team member.
Ability to use judgment, discretion, and decision-making skills in dealing with confidential and sensitive issues.
Ability to maintain confidentiality.

Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to Microsoft Teams, and Office 365 Suite.
Associate degree in Human Resources or a related field.
Minimum of three years of experience in human resources, talent and culture, or related field.

Responsibilities

Welcome and greet all employees, students, and other visitors to the Talent & Culture department, including walk-in visitors and phone and virtual contacts.
Serve as a primary contact by assisting applicants, employees, students, general public, and external stakeholders with questions, concerns, and inquiries.
Provide professional, respectful, and effective resources which ensure timely, appropriate, and beneficial solutions.
Provide administrative support to the Talent & Culture vice president and directors.
Identify and initiate process improvement in all related areas of the department.
Establish and maintain effective working relationships with employees within all levels of the College as well as students and guests.
Administer, review, and make decisions regarding Employee Tuition Reimbursement program for all eligible employees.
Collaborate with the Professional Development Department in the use of Cornerstone for tracking and assisting the setup and maintenance of modules for performance evaluations, employee onboarding, and other related trainings.
Serve as the primary Talent & Culture contact for responding to personal requests.
Process purchase requisitions, annual blanket purchase orders, invoices, and submit annual purchase requisitions for the upcoming fiscal year.
Order all departmental supplies using ESM Solutions.
Hold P-card for the Talent & Culture department and reconcile monthly purchasing card report.
Maintain Talent & Culture employee handbook and other employee resources.
Work independently as well as with key stakeholders in support of the entire talent acquisition process.
Communicate and provide guidance to potential applicants regarding all phases of the process to include status of position postings, job duties, application process, and interview process.
Prepare oral and written materials for application review and interview processes (e.g., agendas, letters, interview questions, etc.).
Provide, monitor, and maintain manager and committee member access to applications via iCIMS (applicant Tracking System).
Schedule interviewees, finalize interview agenda, and send interview confirmation notices.
Provide, test, and troubleshoot remote interview options (Microsoft Teams, Zoom, etc.) with interviewees.
Publish new employee announcements.
Record retention of recruitment files.
Support Talent Acquisition Specialists with recruitment initiatives including candidate sourcing, social media, job boards, talent pipelines, etc.
Develop and maintain documented Talent & Culture processes, procedures, and best practices.
Participate in ad-hoc talent related projects to build community and continually improve success.
Manage sensitive and confidential matters like personnel relations, employee relations, planning and protecting the security of information, data, and files.
Coordinate work schedules and direct the work assignments of interns, work study students, and temporary staff on behalf of the Talent & Culture team.
Communicate and interpret Talent & Culture policies and procedures for employees.
Represent Talent & Culture on appropriate teams and committees.
Provide back-up support in absence of the other Talent & Culture associates.
Assist all members of the Talent & Culture team on an as needed basis.
