About The Position

The Administrator, Recruiting Systems supports the organization’s clinical recruiting efforts and strategy by providing key operational ownership of its Applicant Tracking System, Salesforce. This position is the first point of contact for internal users and is critical to team success by ensuring the system workflows and functionality are optimized. This is not merely a support role- the administrator will help define and build a mature Salesforce environment, as the company continues to scale its use of this highly-customized product. The role requires keen business analysis and learning agility to successfully design system solutions that scale with a fast-paced, growing organization.

Requirements

  • Excellent Business Analysis skills and product design thinking- the ability to envision and understand organizational and departmental goals and translate them into systems solutions
  • Strong understanding of Salesforce platform capabilities, including data modeling, automation (Flows), security model, and reporting

  • Mid-level to advanced MS Excel skills including pivot tables, formulas, functions, and formatting
  • 6+ years of hands-on administration experience of a CRM (Client Relationship Management) or ATS (Applicant Tracking System), including 3+ years of experience with Salesforce.
  • Experience in a custom or complex Salesforce Sales Cloud environment strongly preferred
  • A bachelor's degree in a related field or equivalent combination of education and experience is required
  • Proven experience supporting or building Salesforce solutions that go beyond standard configurations, such as working with custom objects, custom actions, and automations using Flows
  • Experience building and scaling highly usable dashboards and reports
  • Business Analysis experience partnering with stakeholders to gather requirements, design scalable solutions, and deliver timely outcomes

Nice To Haves

  • Experience implementing Salesforce or managing an early lifecycle version is a plus
  • Exposure to configuring and supporting cross-functional systems integrations is a plus
  • Experience working with an internal recruiting department or staffing organization is strongly preferred
  • Experience with data visualization tools is a plus

Responsibilities

  • Under the defined operating model, provide day-to-day administration of a customized Salesforce Sales Cloud production environment using Flows, validation rules, page layout, standard and custom fields, custom objects, record types, user profiles and permissions, data imports, etc.
  • Troubleshoot user issues and resolve requests with a focus on root cause, not just quick fixes. Balance speed to delivery with long-term scalability, in consideration of the overall product roadmap, technical debt, and integration opportunities
  • Drive user adoption through effective training, clear documentation, and ongoing self-service enablement
  • Maintain system health, data quality and performance across a highly customized environment
  • Identify opportunities to simplify, standardize, or improve processes across recruiting and operations workflows
  • Build and maintain meaningful dashboards and reports that provide visibility into pipeline health, performance trends and forecasting to support data-driven decision making
  • Translate business needs into scalable solutions- not only requirements gathering but thoughtful system design- to build and maintain scalable solutions that improve user experience, reduce manual data entry and reporting, and standardize processes
  • Act as business analysis partner to stakeholders helping them think beyond what they asked for or think they may want, to build what they and the organization needs now and into the future
  • Continuously evaluate and improve existing configurations to reduce manual work and increase reliability. Influence product roadmap and design decisions
  • Contribute to documentation, governance and scalable support practices within an established intake, prioritization and delivery framework with IT
  • Work independently and maintain a balance of hands-on configuration, user guidance, and solution design time
  • Operate with curiosity and initiative, demonstrating a continuous learning mindset by proactively building system expertise, deepening business relationships and understanding and staying current on Salesforce capabilities
  • Seek out opportunities to contribute to broader initiatives and projects that may have downstream system impact
  • Partner closely with leadership and technical counterparts to strengthen both business and technical acumen
