About The Position

The Survey Intake Specialist is responsible for handling programming, scanning, and Quality Control throughout the entire lifecycle of survey and mail-based data production. This includes intake tracking, document preparation, application programming, scanning, editing, testing, and multi-phase quality control. The role ensures that every production stage adheres to Standard Operating Procedures (SOPs), Service Level Agreements (SLAs), regulatory standards, and audit requirements for accuracy, confidentiality, and client compliance.

Requirements

  • High school diploma or equivalent
  • Experience in regulated document imaging, data capture, or production QC environments
  • Strong attention to detail and deadline-driven execution

  • ScanTools Prisma programming and QC experience
  • Survey, mailhouse, or compliance-driven production background

Responsibilities

  • Track returned surveys, refusals, and bounce backs in enterprise tracking systems
  • Clean, repair, rebubble, and prepare survey packets for scanner recognition
  • Create batch logs, header sheets, and maintain chain-of-custody controls
  • Program survey applications, response fields, barcode/Master ID capture, and validation logic
  • Configure Edit and Conversion Profiles
  • Perform full test scanning and data verification prior to production release
  • Batch, scan, edit, and convert high-volume surveys using production scanners
  • Validate Master IDs, open-ended responses, and file outputs
  • Troubleshoot recognition, feed, and conversion errors
  • Execute formal QC checkpoints across all production phases: Document design and merge validation, Printed and inserted mail piece verification, Survey programming and testing audits, Survey scanning and editing QC, School and specialized project QC protocols
  • Perform 10%–100% QC sampling as required by project type
  • Validate data integrity through Excel-to-text file comparison
  • Maintain QC documentation, audit trails, and compliance reporting
  • Track volumes, deadlines, and deliverables
  • Support audits, regulatory reviews, and SLA adherence
  • Coordinate with project managers, print/mail vendors, and operations teams
