Job Summary: Coordinates and maintains the surgical supply system ensuring that it operates in a fiscally sound and efficient manner by managing surgical supplies and equipment from acquisition to disposition. Maintains supply inventory within the surgical department including ordering, receiving, storage and distribution of all supplies used in the surgical department. Coordinates small program(s) with limited budget/impact. Plays a critical part in ensuring that essential medical supplies and equipment are readily available to support patient care and hospital operations. Trains new surgical supply chain employees on departmental tasks and workflows and supports peer employees in issue identification and resolution. Takes on project assignments specific to improving surgical supply chain workflows.

Requirements

  • High School Education/GED or equivalent: Required

Nice To Haves

  • Associate’s/Technical Degree or equivalent combination of education/related experience: Preferred
  • Five years' of experience within the surgical operations or supply chain function: Preferred
  • Experience in materials management, inventory control, or a related field, preferably in a healthcare setting: Preferred

Responsibilities

  • Participates and conducts periodic physical inventories and cycle counting.
  • Updates and maintains surgery inventory and tracking system in a cost-effective manner and ensures an accurate account of supplies.
  • Coordinates all returned and recalled items in a timely manner and notifies user of back orders and works to identify alternative products.
  • Generates necessary purchase orders (POs) to facilitate surgical inventory needs adhering to scheduled operations and add on surgeries as necessary.
  • Produces statistical reports as requested.
  • Supports process improvement solutions to optimize inventory, system, and effective cost objectives.
  • Communication liaison between supply chain and surgical team.
  • Continuously maintains inventory system tool.
  • Performs routine par level analysis and makes recommendations for adjustments.
  • Maintains expiration management of supplies.
  • Handles bill only purchasing order requisitioning, completion, and submittals.
  • Notifies management of any recalls.
  • Handles overall inventory management oversight for implants/specialty/soft goods in surgery department.
  • Receives and inspects deliveries of medical supplies and equipment.
  • Organizes, categorizes, and labels inventory items.
  • Monitors expiration dates and ensures proper rotation of supplies.
  • Ensures surgical departments have access to necessary supplies by timely restocking their supply areas.
  • Performs routine inventory checks to identify low stock items and promptly reorder as needed.
  • Reviews perpetual inventory systems to make inventory stocking level recommendations and routinely manage.
  • Coordinates with surgery department heads and physicians to understand their specific inventory requirements.
  • Ensures surgeons have necessary supply items ahead of scheduled operations.
  • Ensures that received items meet quality and safety standards.
  • Collaborates with physicians and leadership to address any quality issues.
  • Completes all bill only requisitions on time and accurately.
  • Maintains accurate records of all inventory transactions, including receipts, issues, and returns.
  • Generates reports to analyze inventory levels and consumption patterns.
  • Assists with data entry into the hospital's materials management software.
  • Communicates with suppliers to place orders, track deliveries, and resolve issues.
  • Identifies opportunities for supplier consolidation or improved contracts.
  • Collaborates with the disaster preparedness team to ensure the availability of essential supplies in case of emergencies.
  • Maintains a contingency stock of critical items for unexpected situations.
  • Ensures compliance with all relevant regulations and standards, including infection control protocols.
  • Implements safety measures in handling, storing, and distributing hazardous materials.
  • Supports product recall requirements to ensure patient safety.
  • Trains hospital staff on proper inventory management practices.
  • Stays updated on industry best practices and participate in relevant training as needed.
  • Trains new surgical supply chain staff of tasks and workflows within the department.
  • Takes on project assignments specific to improving surgical supply chain workflows.
  • Manages all project activities associated with the execution product conversions and transitions within the healthcare environment.
  • Performs other job-related duties as assigned.
