About The Position

A Surgery Scheduler for the ENT and Plastic Surgery department coordinates all aspects of surgical scheduling to ensure a smooth, efficient experience for patients and providers. This role manages surgery bookings, communicates pre‑operative instructions, and collaborates closely with surgeons, clinical staff, and outside facilities. Strong attention to detail, excellent communication skills, and the ability to navigate a fast‑paced environment are essential. The scheduler also supports patients through the pre‑ and post‑operative process, helping them understand timelines, requirements, and next steps to promote safe, well‑organized care. The Surgery Scheduling Coordinator is responsible for the management and organization of most aspects of specialists' surgery schedules in outside facilities. This includes, but is not limited to, pre-certification of all scheduled surgeries, scheduling elective and urgent surgeries and communicating pertinent information to appropriate departments and personnel regarding patient's surgery. Communicates effectively with patients, personnel and providers at all times.

Requirements

  • High School Diploma or GED or GED (Required)
  • 1 - 2 years experience Customer Service health-related field (Required)
  • Thorough knowledge of medical and surgical terminology
  • Familiarity with surgical procedures
  • Strong attention to detail
  • Excellent communication skills
  • Ability to navigate a fast‑paced environment
  • Able to perform under pressure while maintaining good organizational abilities

Responsibilities

  • Accurately enter data into information systems including Meditech, for registration, charges, and department's patient database.
  • Communicates effectively with team members through participation in conflict resolution and team problem-solving while working together to achieve completion of tasks.
  • Demonstrates problem-solving initiative when situations with providers arise, including meeting with providers face-to-face.
  • Safeguards confidential data responsibly with regards to HIPAA laws and guidelines.
  • Schedules elective and urgent cases for GHA specialists using good organizational skills, including pre-certification of procedures and scheduling of post-operative appointments.
