About The Position

A Surgery Scheduling Coordinator works closely with the Surgery Schedulers for the medical clinic and surgery center and is one of your top responsibilities, however, another part of your job is making sure that patients have gone through all of the pre-surgery steps before scheduling a procedure, such as medical evaluations and insurance documentation. Communicates with patient concerning their upcoming surgery via schedulers information. Works closely with surgery schedulers and other departments such as customer service and prior authorization. Your job duties include tracking and documenting patient medical information, scheduling surgical procedures, confirming insurance, and organizing the schedule for each surgeon. You must be well organized and have strong communication skills to succeed in a surgical coordinator career. The Surgical Scheduler is responsible for coordinating procedures with the hospital, surgery center and other doctor offices, scheduling and obtaining pre-operative testing, writing and communicating surgery orders, and collecting necessary documentation for surgeries. work closely with patients, physicians, and surgery location to providing accurate, timely, and responsive paperwork.

Requirements

  • High school diploma or GED required.
  • Basic Life Support Certification required.
  • 1+ years surgery scheduling or related experience. Must be able to communicate effectively with physicians, patients and the public and be capable of establishing good working relationships with both internal and external customers.
  • 2 years Medical Experience Required.
  • Strong knowledge of clinical / medical practice operations, procedures, terminology, and
  • administrative procedures.
  • Must be flexible and have the ability to multi task.
  • Proficient in computers and relevant software applications and practice management technology.
  • Ability to collaborate across departments and build effective relationships with internal and external customers to achieve goals.
  • Possession of strong problem solving skills and sound judgment.
  • Ability to achieve team goals while demonstrating organizational values and utilizing resources
  • responsibly.
  • Ability to be proactive and take initiative.

Nice To Haves

  • Prior orthopedic experience in a medical office.
  • Certified Medical Assistant highly preferred.

Responsibilities

  • Maintains regular attendance.
  • Scans all surgery orders in to Pre-Authorization designated shared drive.
  • Manages and maintains department Cerner task list
  • Obtains ALL medical clearances for surgeries scheduled
  • Serves as back-up for any vacation/sick coverage for the Surgery Scheduling team – when regular back up is out
  • Main Receptionist for General Surgery calls.
  • Manage voicemail for general surgery scheduling line. Assists other surgery scheduler team members’ forwarded voicemails to address.
  • Ensures efficient telephone communication.
  • Documents work processes as required. Create Surgery Scheduling patient packets for ALL surgeons and Total Joint program.
  • Follows all written protocols and procedures of the Clinic.
  • Demonstrates courtesy and helpfulness toward patients and their families.
  • Must be able to recognize and respond appropriately to urgent/emergent situations per protocols.
  • Documents according to established policy.
  • Establish and maintain effective working relationships with physicians, staff, and management.
  • Follow established KOC and SCSC/hospital precautions and procedures in the performance of all job duties to ensure a safe work environment. Adhere to policies regarding safety, confidentiality and HIPPA guidelines.
  • Other duties as assigned.
