About The Position

Under the direction of the Director and Assistant Director of Perioperative and Central Service Operations the Surgery Scheduler is responsible for scheduling surgical cases by communication with the surgeon(s) and their medical office personnel. The surgeon/medical office remains responsible for obtaining pre authorization from the insurance carrier. Stays informed of project progress, perioperative problems and needs. Maintains confidentiality of perioperative information. Cooperates with hospital staff to achieve goals and maintains good employee relations, interdepartmental relations and public relations. Attends meetings as required including in-service meetings and departmental meetings. Strives to remain current in the field of scheduling services, as directed by the unit director(s).   • Computer experience, past scheduling experience in a medical related environment preferred

Responsibilities

  • Organizes work schedule according to daily and non-daily responsibilities and duties.
  • Answers telephone, receives and delivers messages.
  • Handles correspondence, performs typing, filing, copy work and other clerical duties as required.
  • Receives surgery scheduling phone calls via designated phone line. Is responsible for scheduling surgery with attention to patient and doctor preference but also taking into account case load, room availability, and equipment/rep availability. Also schedules associated imaging that is necessary during or immediately before the procedure, such as needle localizations and radio-isotope injections. Is not responsible for the scheduling of pre-operative diagnostic tests.
  • Notifies associated company representative of upcoming cases and arranges availability of loaner equipment to ensure timeliness for proper sterilization and safety checks. If this a new piece of equipment, will alert General Electric representative and Central Sterilization to assist in obtaining all new vendor Instructions for Use (IFU).
  • Demonstrates a good understanding of the elements involved with the various procedures and provides appropriate instructions to medical/ancillary staff for the specific surgery. Demonstrates attention to detail and is accurate. Communicates with perioperative staff of any changes or potential complications.
  • Monday through Friday from 0830-1700, receives all phone calls pertaining to add on cases and emergencies and is able to prioritize cases and make needed adjustments. In the event of discrepancies, director(s) will be consulted. After 1700 when the department is closed, and on weekends and holidays, the on call RN is to be contacted for any changes or add-ons.
  • Will print daily schedule to have available for staff viewing. Will also make additions to the schedule as needed. Assists with other duties in surgical department as assigned by unit director(s).
  • Is courteous and professional interacting with patients, physicians, and hospital personnel.
  • Communicates pertinent information and ideas clearly and understandably.
  • Communicates with registration department to assist with pre-registration of scheduled patients.
  • Demonstrates awareness and sensitivity to patient and family rights, as identified within the institution.
  • Functions with awareness an application of safety issues as identified by the department and organization.
  • Demonstrates an awareness of responsibility, accountability for own professional practice.
  • Demonstrates self-direction learning and participation of continuing education to meet own development needs. Seeks validation of knowledge base, skill level, and decision making as necessary.
  • Participates in development and attainment of unit and self goals.
  • Actively involves self in Perioperative performance improvement activities.
  • Demonstrates effective organization and priority setting abilities in using self and material resources in a timely and cost effective manner.
  • Maintains strict confidentiality of patient, department and hospital information according to GAHHS and HIPAA Guidelines.
  • Performs all jobs duties in compliance with applicable laws and regulations as well as the GAH Corporate Compliance Program.
  • Follows established professional and ethical standards and reports concerns to the unit director(s).
  • Attends mandatory education events, required meetings/committees, disaster drills.
  • Performs other duties as directed by the unit director(s).
