Job Summary The Surgery Scheduler - Clinics is responsible for coordinating and scheduling surgical procedures for patients in a clinical setting. This role ensures accuracy in scheduling, proper documentation, and effective communication between patients, providers, and surgical teams. The Surgery Scheduler plays a vital role in ensuring an efficient workflow and a positive patient experience.

Requirements

1-3 years of experience in medical scheduling, surgical coordination, or a related administrative role required
Strong knowledge of surgical scheduling processes and medical terminology.
Proficiency in electronic health records (EHR) and scheduling software.
Excellent organizational and multitasking skills to manage complex schedules.
Strong communication and interpersonal skills to interact with patients, providers, and surgical teams.
Ability to handle confidential patient information in compliance with HIPAA regulations.
Attention to detail to ensure accuracy in scheduling and documentation.
Proficiency in Microsoft Office Suite and other administrative tools.
Commitment to providing high-quality customer service and patient support.

Associate Degree in Healthcare Administration or a related field preferred

Responsibilities

Schedules surgical procedures, pre-operative appointments, and follow-up visits in coordination with surgeons and clinical staff.
Confirms surgery details with patients, including preparation instructions, arrival times, and necessary documentation.
Verifies patient insurance coverage and obtains prior authorizations as required.
Coordinates with surgical facilities to ensure proper scheduling, availability of resources, and compliance with protocols.
Ensures accurate and timely entry of surgical procedures into the scheduling system and electronic health records (EHR).
Communicates with patients regarding any scheduling changes, delays, or cancellations.
Collaborates with clinical teams to optimize surgical schedules and minimize conflicts.
Prepares and distributes surgery schedules to relevant departments, ensuring all necessary personnel are informed.
Maintains detailed records of scheduled procedures, cancellations, and reschedules.
Provides excellent customer service and serves as a point of contact for patient inquiries related to surgical scheduling.
Performs other duties as assigned.
Maintains regular and reliable attendance.
Complies with all policies and standards.
