About The Position

Work closely with the Options Counselors, volunteers, and Data and Reporting Team Leader to ensure clients receive comprehensive support and are effectively navigated through the decision-making and benefit enrollment process. Provide administrative support, gather information about available services, schedule appointments, conduct initial intake interviews, and may assist with paperwork or application processes related to accessing services. Also assists with administration and program tasks when necessary and when assigned by management.

Requirements

  • High school diploma or equivalent
  • At least two years' experience in program intake or customer service in private industry or public grant funded programs such as those under the Older Americans Act.
  • Experience in word processing is required.
  • Has excellent interpersonal and group process skills.
  • Is accurate, conscientious, and flexible with attention to detail.
  • Is proficient with computers and data entry.
  • Successful completion of the Initial Training for new SHIP/MIPPA Team Members upon hire (training provided).
  • Accepts direction, is well organized, and can meet deadlines.
  • Become certified as Database Curator when eligible.
  • Can perform job functions with ethics, honesty and integrity.
  • Position requires excellent customer service skills.
  • Willingness to work in a team environment.

  • Regularly required to sit for extended periods of time, work on repetitive tasks and motions, and spend long hours using office equipment including computers.
  • Must have ability to lift 40 pounds

Nice To Haves

  • Familiarity with record-keeping and filing systems is desirable.
  • Knowledge of various long-term services and supports (LTSS), along with eligibility requirements and funding sources, and/or Medicare and public health benefit programs, is desirable.

Responsibilities

  • Complete word processing, data entry, administrative support for PCOC and SHIP/MIPPA programs.
  • Conduct initial needs assessments or intakes over the phone or in person.
  • Maintain and update with resource directory.
  • Research available services and providers in a specific geographic area.
  • Reviews and responds to incoming emails and telephone calls in a timely manner and forwards program communication and information to the appropriate team members in a timely manner.
  • Verify eligibility criteria for different programs.
  • Assist with completing enrollment and application forms.
  • Schedule client appointments with team members.
  • Maintain upkeep and tracking of shared scheduling system.
  • Accept client referrals and assign referred clients to team members.
  • Maintain client records and documentation in appropriate online client record database.
  • Schedule and assist with community outreach events.
  • Handle other duties as assigned.
