About The Position

The Support Specialist plays a critical behind-the-scenes role, supporting the team and agency leadership by managing policy transactions, processing carrier downloads and commission statements, supporting licensing and regulatory compliance, and ensuring data integrity across both Commercial and Personal Lines. This position directly contributes to operational efficiency, compliance, and financial accuracy through consistent, detail-oriented work.

Requirements

  • High School graduate (or GED) required.
  • Must have valid Property & Casualty (P&C) license or must obtain within 30–60 days of hire. Ongoing compliance with continuing education requirements is required to maintain the license in good standing.
  • 2–5 years of personal and/or commercial lines account handling or CSR experience in an agency or broker environment.
  • Strong attention to detail, organization and time management skills is essential.
  • Trusted to handle sensitive PII/financial data.

Nice To Haves

  • Associate’s degree (Insurance/Risk Management, Business, Finance, Accounting or related field) preferred.
  • Professional designations in Insurance preferred.
  • Familiarity with agency management systems (Applied Epic, preferred) and insurance carrier portals preferred.

Responsibilities

  • Monitor carrier download activity in Applied Epic, resolve suspense issues, and manually retrieve missing documents from carrier portals when needed.
  • Enter and update policy data including new business, renewals, endorsements, cancellations, and non-renewals with accuracy and timeliness.
  • Manage policy data and documentation with precision by entering and maintaining policy records across the full lifecycle—new business, endorsements, cancellations, and renewals—while reviewing coverage details, limits, class codes, and producer assignments for accuracy.
  • Review policies and endorsements to ensure correct coverages, limits, class codes, and agent/producer assignments are reflected in the system.
  • Download and reconcile commission files, flag discrepancies, and coordinate with accounting as needed.
  • Support financial accuracy through accurate policy entry, billing reconciliation, and assistance with end-of-month accounting processes.
  • Oversee agency and individual licensing and continuing education tracking by managing renewal timelines and monitoring continuing education requirements for licensed staff, ensuring regulatory compliance across all applicable jurisdictions.
  • Provide general administrative and operational support to the Account Management and Operations teams as needed.
  • Assist with internal audits to maintain data integrity and ensure policies and workflows align with agency standards.
  • Maintain and update agency templates and document formats within the agency management system to support consistency.
  • Contribute to acquisition due diligence efforts by assessing client and policy datasets, documenting findings, ensuring successful data migration and setup within the agency management system.
  • Support leadership by generating and disseminating accurate monthly reports for internal management and designated third parties as required.
  • Assist account managers and sales staff by providing support with quoting new or replacement insurance policies as needed.
  • Process the agency’s daily incoming mail and answer incoming overflow phone calls as needed.
