About The Position

Support daily operations by keeping documents and mail moving without delay. Hastings Insurance is seeking a Support Services Processor to join our Support Services team. This entry-level role is responsible for processing, indexing, and distributing documents, as well as managing incoming and outgoing mail for the entire organization. You’ll play a central role in supporting daily business operations by ensuring documents are handled accurately and efficiently within our workflow and retention systems. This position is ideal for someone who enjoys hands-on, detail-oriented work and takes pride in staying organized and dependable. Schedule & Location: This is a full-time position working Monday through Friday, 7:30 a.m. to 4:00 p.m. This is an onsite role that will work daily at our Hastings, MI headquarters. Additional Role Highlights: Supports document workflow and retrieval across the entire company. Processes over 7,000 pieces of manual and electronic mail daily. Works closely with teams across all departments. Hands-on, fast-paced environment with a consistent daily routine. Requirements

  • High school diploma or GED required.
  • Basic keyboarding skills with a minimum of 30 words per minute and strong accuracy.
  • Clear verbal and written communication skills.
  • Basic computer skills, including familiarity with Microsoft Office.
  • Strong attention to detail and ability to stay organized.
  • Dependability and a consistent work ethic.
  • Ability to manage repetitive tasks while maintaining accuracy and focus.

Responsibilities

  • Assign policy and submission numbers using internal systems, including Mainframe and PolicyCenter.
  • Research and verify policy information and business details as needed.
  • Prepare, sort, and organize documents for scanning and distribution.
  • Scan documents into workflow and retention systems with accuracy.
  • Index documents and apply keywords to support efficient retrieval.
  • Verify the quality and accuracy of document preparation, scanning, and indexing.
  • Sort and distribute incoming mail, including handling returned mail.
  • Prepare and process outgoing mail for agencies, employees, and policyholders.
  • Handle UPS and overnight shipments and coordinate special mailings.
  • Print and distribute collection letters and other required communications.
  • Support company-wide mailings, including employee recognition and special programs.
  • Maintain inventory of supplies, forms, and envelopes needed for daily operations.
  • Print envelopes, separator pages, and batch sheets as needed.
  • Provide backup support for additional functions such as reception, dock operations, or mail transport.
  • Participate in ongoing learning and development opportunities.
