The Support Assistant II, Clerical- Operating Room plays a vital role in providing clerical and administrative support to the Operating Room department. This position is essential for maintaining efficient operations, ensuring excellent customer service, and facilitating communication within the team and with external stakeholders. The role involves a variety of tasks including data entry, meeting coordination, and maintaining departmental files, all aimed at supporting the high-acuity surgical care provided by the unit.

  • Acts as the point of contact for receiving information/calls from internal and external customers/service providers.
  • Promptly responds to e-mail and voicemail no later than the end of the business day.
  • Works as a liaison with IT team to troubleshoot issues, manage phone tree.
  • Compiles, transcribes and distributes minutes of meetings.
  • Assists in the development and maintenance of department website.
  • Arranges for the repair and maintenance of office equipment.
  • Collects and enters data in spreadsheets and databases for monthly reports.
  • High School Diploma or GED required.
  • 1-3 years of healthcare or professional clerical experience required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal human relation skills.
  • Possesses excellent customer service skills.
  • Ability to multi-task and handle a high volume of tasks at one time.
  • Ability to work independently and be self-directed.
  • Skilled in organization and setting priorities.
  • Ability to use scheduling systems and coordinate meetings.
  • Ability to maintain adequate levels of office supplies.
  • Ability to compile, transcribe, distribute meeting minutes.
  • Proficient in data entry into spreadsheets and databases.
  • Knowledge of medical terminology.
  • Good troubleshooting and problem-solving skills.
  • Skilled at coordinating office services such as records management, moves, housekeeping, and maintenance.
