About The Position

As a Supply Control Coordinator, you will ensure the efficient and timely ordering, inventory management, and issue of parts, materials, and supplies for use at Washington Dulles International Airport. Supply Control Coordinator Works under the direct supervision of a Heavy Equipment Mechanic Supervisor or Assistant Supervisor in the Equipment Maintenance Division shops or the Airport Logistics Asset Management Manager. Serves in the Equipment Maintenance Division in the Airport Maintenance Department or in the Airport Logistics Asset Management Division in the Airport Administration Department at Washington Dulles International Airport. Serves as the point of contact for coordinating, ordering, issuing, and maintaining parts, materials, and supplies to support maintenance and repair of Utilities and Operations Maintenance equipment owned by the Airports Authority. Coordinates with other employees as needed to ensure the purchase of correct items in the needed quantity. Performs related functions.

Requirements

  • Four years of progressively responsible experience in coordinating the efficient use of materials and equipment to complete maintenance and repair of equipment.
  • Skill in inventory control and use of an inventory system to document the receipt, storage, and issuance of items; record backlogged items; update vendor information, and generate inventory reports.
  • Ability to forecast equipment and material needs and to procure needed resources.
  • Knowledge of solicitation or purchasing methods, such as would be acquired through extended training or experience, to make competitive or sole source small purchases that involve collecting data to determine price reasonableness and applying the expertise of Authority procurement processes to enable the use of the most compliant and expeditious manner of receiving goods or services.
  • Knowledge of procurement logistics and ability to help procure and ensure just-in-time inventory control of equipment and material.
  • Knowledge of and ability to coordinate between utility functions and supply and warehousing functions (this includes basic knowledge of plumbing and electrical supplies).
  • Basic knowledge of utility items/parts and the ability to coordinate between utility functions and supply and warehousing functions.
  • Ability to work safely and knowledge of the safety rules, regulations, and procedures needed to do so.
  • Ability to perform basic analyses of data and information.
  • Ability to speak and write effectively.
  • Skill in using a computer, computerized work order, and time and attendance systems.
  • A high school diploma or a Certificate of General Educational Development (GED).
  • A state driver’s license in good standing.

Nice To Haves

  • Knowledge of Equipment Maintenance platforms, including but not limited to light, medium, and heavy mobile equipment, propulsion, auxiliary engine systems, hydraulic drive, heating and air conditioning systems, basic electrical systems, and passenger boarding bridges.
  • Knowledge of facility utility systems, including but not limited to high-temperature hot water, natural gas, domestic water, sanitary sewer, and plumbing systems.
  • Experience using a computerized warehouse inventory system.

Responsibilities

  • Responsible for daily inventory, ordering, maintenance, and control functions for all Division parts, materials, and supplies.
  • Uses technical expertise, knowledge of industries, and reverse engineering to research technical manuals, manufacturer support, and distributors for replacement parts of obsolete and modified industrial systems including (For Airport Logistics Asset Management Division: Air-conditioning, Boilers, Chillers, Cooling Towers, Terminal Boxes, Fire Suppression, Sanitary, Storm, Pumps, natural gas and industrial control system; For Equipment Maintenance Division positions: mobile equipment as contained above to include aircraft pre-conditioned air systems, aircraft ground power units, and horizontal and vertical drive systems) to meet original (OEM) technical specification and design requirements.
  • Purchases material using a Purchase Card (P-Card) in accordance with the P-Card Program.
  • Assists COTRs by placing recurring high-volume orders on automotive and related commodities contracts as required to replenish inventory in the assigned storeroom or warehouse.
  • Maintain stock levels in support of ongoing 24x7x365 maintenance operations.
  • Purchases, receives, manages, organizes, stocks, and issues parts, materials, and supplies; coordinates the use of such materials and supplies with management, supervisors, planners, and mechanics/technicians as required.
  • Logs all parts and materials into the appropriate database, performing quarterly cycle inventories and maintaining inventory records.
  • Investigates the cause of critical material shortages and delays in schedules and improve processes to eliminate reoccurrence.
  • Locates suppliers and sources of parts obtains pricing and availability of items by contacting sources and collecting comparative information in compliance with the Airport Authority’s procurement guidelines.
  • Research potential sources for substitution or fabrication of parts and replacement parts for obsolete and modified industrial systems, ensuring compliance with OEM technical specifications.
  • Makes effective purchases, identifies and avoids potential problems, and develops and executes appropriate remediation in the event of inadequate supplies or equipment.
  • Assists in recommending policies and procedures for inventory control as required by changing needs and conditions.
  • Provides immediate attention to customer requests.
  • Maintains efficient flow of completed bills of material (BOM).
  • Assists Planners/Schedulers in analyzing and planning BOMs.
  • Reviews and analyzes BOMs to identify needed parts materials, quantities, and dates required based on the complexity of the job.
  • Conducts weekly reconciliation of P-Card transactions in Workday, in accordance with the Finance Department policies and procedures.
  • Performs supply functions necessary to support requisition and tracking; maintains associated files and records.
  • Conducts follow-up queries with procurement staff to ensure timely delivery of materials.
  • Can be assigned as a Contracting Officer’s Technical Representative on small service or materials contracts.
  • Performs other duties as assigned.
