About The Position

The Clinical Inventory Supervisor leads the end-to-end execution of clinical financial transactions and inventory management for client departments through oversight of a team of Clinical Resources Specialists and Shipping and Receiving Clerks. Clinical financial transactions responsibilities include requisitioning, purchasing, payment processing and ensuring accurate and timely monitoring and reporting of clinical financial transactions across a defined set of departments. Additionally, the incumbent is responsible for inventory management and strategy and supervises a team that verifies the accuracy of incoming and outgoing shipments and orders.

Requirements

  • Expert knowledge of institutional clinical financial administration policies, procedures, and practices, as well as governmental and institutional regulations, guidelines, policies, and procedures
  • Expert knowledge of inventory management, warehouse methods, techniques, and procedures.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources
  • Skill in monitoring/assessing the performance of self, other individuals, or organizations to make improvements or take corrective action
  • Ability to exercise independent thought and judgment over resolution of non-routine finance and procurement problems.
  • Detail oriented with meticulous planning and organizational skills.
  • High School Diploma or GED Required.

Responsibilities

  • Oversees a team who inspects shipments and deliveries to recipients, verifies materials received are reconciled/inventoried, maintains related records, and strategically stocks the warehouse.
  • Oversees processing for routine clinical financial transactions, including but not limited to, reimbursements, purchase requisitions, internal transfers, and payments to individuals.
  • Advises inventory supply strategy to include storage, tracking, allocations and reordering to inventory management systems.
  • Manages critical and recurring revisions to requests for clinical financial process inquiries submitted through clinical inventory specialists via phone or email.
  • Supervises the documentation of transactions and confirms completeness, accuracy, and compliance with UT Health San Antonio and departmental policies and procedures.
  • Upholds business process best practices with consistent monitoring, reviewing, and training.
  • Effectively manages staff across multiple departments and physical locations and maintains satisfactory clinical financial transaction and inventory services to department constituents.
  • Advises departments/schools of best practices or better solutions to reduce errors and optimize resources.
  • Manages customer relationships, participates in client and leadership meetings to confirm service expectations and to anticipate upcoming needs and recommends process improvements to meet service level requirements.
  • Identifies and escalates prevalent and recurring issues to leadership and recommends solutions.
  • Leads business process improvement exercises by integrating customer recommendations with best practices.
  • Oversees staff professional and clerical personnel.
  • Interviews, selects, trains and develops employees; sets/adjusts hours of work; plans/directs work, appraises productivity/efficiency, handles complaints/grievances and disciplines when necessary.
  • Has the authority to direct the work of others, and provide recommendations as to the hiring, firing, advancement, promotion, or any other change of status of other employee.
  • Ability to think critically on resource, talent and process needs to achieve satisfactory service levels for customers.
