About The Position

Perform a variety of clerical support duties for an assigned school, department or program according to several specific routines and broadly defined policies and procedures. The Typist Clerk II classification performs a variety of clerical support duties involving application of broadly defined policies and procedures. The Typist Clerk II classification performs a variety of complex and diverse clerical duties involving independent judgment and action within a specific office functional area which requires a knowledge of the function served or provides sole clerical support to a major school or District office function. BASIC FUNCTIONS: Perform a variety of responsible and technical clerical duties requiring specialized knowledge and independent judgment involving frequent and responsible public contact; provide for proper input and output of a variety of data. DESIRABLE QUALIFICATIONS: KNOWLEDGE OF: Modern office practices, procedures and equipment. Telephone techniques and etiquette. Record-keeping and filing techniques. Appropriate terminology of assigned function Correct English usage, grammar, spelling, punctuation and vocabulary. District organization, operations, policies and objectives related to assigned function. Interpersonal skills using tact, patience and courtesy; oral and written communications skills. Operation of a computer. ABILITY TO: Perform responsible and complex technical clerical work involving independent judgment and requiring accuracy and speed. Establish and implement revised office procedures as needed and according to established guidelines. Understand, interpret rules and written directions and apply to specific situations. Compose correspondence independently; establish and maintain cooperative and effective working relationships with others. Analyze situations accurately and adopt and effective course of action. Meet schedules and time lines. Perform duties effectively with many demands on time and constant interruptions. Plan and organize work; work confidentially with discretion. Maintain records and prepare reports. Communicate effectively both orally and in writing. Type at 45 words net per minute from clear copy. Make arithmetic calculations quickly and accurately. Understand and follow oral and written directions. Operate a variety of office equipment such as typewriter, computer and duplicating machine.

  • Any combination equivalent to: high school diploma or equivalent and responsible clerical experience.
  • High School Diploma or Equivalent OR Associate's Degree OR Bachelor's Degree OR Higher Education Degree
  • Typing Certificate for 45 words net per minute from clear copy.
  • ATTACH TO APPLICATION current typing certificate (within last 6 months). Internet certificates will not be accepted.
  • A practical job skills test may be administered as part of the interview process.
  • If selected for the position, out-of-district applicants must be T.B tested and fingerprinted.

Responsibilities

  • Type letters, memoranda, bulletins, reports, schedules, lists, handbooks, questionnaires, requisitions or other materials from straight copy, rough draft or verbal instructions; compile information from various sources and type a variety of forms.
  • Type and perform other clerical duties for the assigned supervisor, certificated personnel, administrators and other staff members as directed.
  • Proof documents for accuracy, completeness and conformance to established procedures.
  • Compile and tabulate statistical data.
  • Develop and maintain a variety of files and records.
  • Input a variety of records and information into computer system.
  • Answer telephone, greet students and the public and provide routine information and direct inquiries to the appropriate person or office; make phone calls to request or provide information as directed.
  • Assist in maintaining records for an assigned program.
  • Operate a variety of office machines including a computer terminal, typewriter, calculator and duplicating machines.
  • Participate in the attendance function in a school office as assigned.
  • Receive and verify applications for program services; receive and review applications for completeness and accuracy according to program guidelines; recommend eligible program participants.
  • Review records according to program guidelines to assure continued eligibility of program participants.
  • Enroll students and maintain student records as assigned; assist students with information and services as necessary.
  • Order, store and issue supplies and materials as directed.
  • Assure the timely distribution and receipt of a variety of records, reports and bulletins as directed.
  • Receive, sort and distribute incoming and outgoing mail as assigned.
  • Perform related duties as assigned.
