About The Position

The Student Event Associate (SEA) position reports to the office of protocol & special events. The office of protocol & special events manages programs, events, and initiatives that involve external guests, community members, and the campus community. A SEA will provide ongoing support to the college throughout the summer, working all-around campus to provide hospitality, support, and services for institutional events and programs. In addition, this role will include office shifts and on-call assistance. This is a part-time position and will not exceed 25 hours per week.  Evening and weekend hours are required. We are looking to fill three vacancies for this position.

Requirements

  • Be in good academic and disciplinary standing
  • Have completed at least 24 course credits with a minimum 2.5 cumulative GPA
  • Abide by policies and expectations set forth in the Student Handbook
  • Serve as a role model and visible presence on campus
  • Be detail-oriented, punctual, highly organized, and possess good communication skills.
  • Provide quality customer service to individuals from diverse backgrounds and effectively deal with people in difficult situations.

Nice To Haves

  • Previous campus employment experience and/or three or more months’ hotel/hospitality/customer service/events experience preferred.
  • Demonstrated leadership experience (volunteer experiences or employment experiences).
  • Experience with Microsoft Office suite preferred.

Responsibilities

  • Serve as a campus and community leader and provide helpful, friendly assistance in a professional manner.
  • Communicate policies and community standards to Ursinus students and guests.
  • Maintain positive working relationships, as well as communicate efficiently and effectively with college faculty, staff, and community partners.
  • Conduct administrative tasks for protocol & special events.
  • Participate in mandatory summer staff orientation in June.
  • Attend staff meetings and supervision meetings as needed.
  • Assist on-call protocol staff member with responding to afterhours calls and urgent work orders
  • Work scheduled hours, approximately 15 – 25 hours per week.  Combination of office hours (M-F between 9 a.m. – 4 p.m.), designated campus events, and on-call assistance (nights and weekends).
  • Prepare academic buildings and residence halls for summer residential programs and provide follow-up at the conclusion of events. Sort keys; inspect buildings and classrooms; and assist with classroom technology usage.
  • Provide on-site event support for campus events, including summer residential move-ins and related events; Movies on the Lawn; and camps.
  • Provide support (weekdays 5 p.m. – midnight and weekends 12 p.m. – midnight) to on-call protocol staff member On-call days will be scheduled in advance On-call requests will be filtered from the on-call professional staff member on a by-need basis Student Event Assistant is expected to remain within 15 minutes of campus during on-call shift See terms & compensation for on-call pay structure
  • Assist the Protocol & Special Events staff in the office. Track and manage inventory Event research Update website and social media  Assist with office initiatives and tasks as needed
  • Commit to staff summer programs on specific dates in 2026 listed in terms of employment section.

Benefits

  • Each student receives $17 per hour, paid out bi-weekly over 10 weeks
  • On-call shifts will be given base pay
  • 1. 3 hours per weeknight on-call shift
  • 2. 6 hours per weekend on-call shift
  • Additional pay starting at 1 hour if on-call assistance is required
  • On-campus housing provided for 10 weeks beginning June 1 and concluding on August 15.

  • (2) Ursinus staff shirts and one nametag will be provided
  • Access to summer meal plan or equivalent Bear Bucks, details will be finalized by May
  • Successful applicants will complete necessary PA and federal clearances to work with minors. This requirement will be organized and paid by employer.
