About The Position

The Urban League of Rochester seeks a dynamic, detail-oriented, and highly professional Strategic Executive Assistant to provide high-level leadership and strategic support to the President & CEO. This pivotal role ensures the efficient operation of the CEO’s office, drives strategic initiatives, and serves as a critical liaison to internal and external stakeholders. The Strategic Executive Assistant will act as a gatekeeper to the CEO, resolving issues that do not require their direct attention, ensuring smooth communication across departments, and driving collaboration to advance the organization’s mission. The role is fluid and adapts to the needs of the organization, with a focus on housing initiatives, timely and precise documentation, and effective communication with constituents and stakeholders.

Requirements

  • Bachelor’s degree in Business Administration, Nonprofit Management, or a related field is preferred. Equivalent experience may be considered.
  • Minimum of 7 years of leadership experience, preferably in a nonprofit or mission-driven organization.
  • Exceptional organizational skills with a strong attention to detail.
  • Outstanding written and verbal communication skills.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and other productivity tools.
  • Strong interpersonal skills and the ability to interact effectively with diverse stakeholders.

Responsibilities

  • Manage cross-functional projects, ensuring deadlines are met, resources are allocated efficiently, and communication between teams is streamlined.
  • Act as a trusted advisor and gatekeeper to the President & CEO, managing priorities and resolving issues independently whenever possible.
  • Provide comprehensive leadership support to the President & CEO, including oversight of calendar management, meeting coordination, and preparation of briefing materials.
  • Assist the CEO in driving strategic initiatives, with a particular emphasis on housing-related projects and other mission-critical activities.
  • Ensure that all documents, reports, and communications originating from the CEO’s office are accurate, well-researched, timely, and professionally presented.
  • Oversee the proficient operations of the CEO’s office, establishing and maintaining systems that support organizational efficiency.
  • Identify opportunities to improve cross-departmental collaboration and ensure departments are working cohesively to meet organizational goals.
  • Participate in high-level strategy meetings, providing input on business plans, market research, and operational improvements.
  • Serve as a gatekeeper and relationship manager for the CEO, handling internal and external communication with key stakeholders, clients, and partners.
  • Serve as a key liaison between the CEO and the Board of Directors, coordinating board communications, meetings, and materials.
  • Draft, edit, and proofread correspondence, reports, and other written materials on behalf of the CEO.
  • Facilitate timely communication with internal and external stakeholders, including staff, community leaders, funders, and constituents.
  • Represent the CEO’s office in interactions with partners and constituents, ensuring a professional and welcoming experience.
  • Plan and execute events on behalf of the CEO, including leadership meetings, community forums, and special engagements.
  • Lead and coordinate special projects assigned by the CEO, ensuring alignment with organizational goals and timelines.
