About The Position

This role provides essential support to the Stewardship arm of the Donor Relations team, Texas Development Leadership, and the President of UT. The position is tasked with coordinating written correspondence to donors on behalf of both the Vice President for Development and the UT President.

Requirements

  • Bachelor's degree.
  • Two years of increasingly responsible experience as a development professional.
  • Experience supporting senior administrators, faculty, and gift officers.
  • High degree of proficiency in databases and computer applications including Smartsheet, Adobe Acrobat, Excel, PowerPoint, Outlook, Word and Copilot.
  • Excellent verbal, written and interpersonal communication skills.
  • Demonstrated ability to think strategically and creatively, work well under pressure, and manage details of several concurrent projects.
  • Strong organizational skills with an emphasis on accuracy and attention to detail.
  • Demonstrated ability to work effectively in a team-oriented environment and independently.
  • Relevant education and experience may be substituted as appropriate.

  • Experience with VIP, specifically the Gift and Endowment subsystems.
  • Working knowledge of UT Austin's structure, policies, procedures, and VIP database.

Responsibilities

  • Donor Acknowledgement & Correspondence Management Produce weekly stewardship reports for all Vice-Presidential and Presidential gift acknowledgements and special correspondence.
  • Generate draft acknowledgements for the President using Microsoft Copilot Agent.
  • Serve as the central point of contact for the acknowledgement review process, including routing requests to the writer, gift officer, and administrator(s) for approval.
  • Develop guidelines and procedures to write, edit, proof, and manage correspondence on behalf of the President and Texas Development administration.
  • Serve as primary liaison with the President’s Office on matters relating to correspondence.
  • Manage and maintain donor acknowledgement correspondence files and donor information, including biographical information, engagement efforts, and imaged acknowledgement correspondence stored in the VIP system.
  • Provide editing and proofing assistance in the review process for other stewardship communications or donor correspondence as needed.
  • Process Efficiency & Team Collaboration Manage efficiency of donor acknowledgement processes, working with Gift Operations and other Texas Development teams as necessary.
  • Train staff on guidelines and procedures relating to gift acknowledgements and special correspondence.
  • Develop resources for Texas Development operations to be published on DevConnect, the university’s development intranet.
  • Record project activities and update Director of Donor Stewardship on project status; provide reports on acknowledgements and correspondence when requested.
  • Donor Engagement & Custom Initiatives Creatively think of ways to engage donors as other Development needs arise; research and resolve internal/external questions as they relate to stewardship plans.
  • Work on one-off custom engagement events and stewardship deliverables as needed.
  • Leadership, Best Practices & Compliance Provide insight and expertise on how to increase the quality and effectiveness of stewardship by keeping informed of latest ideas, developments, and trends in top donor stewardship strategies.
  • Serve as a leader and expert for the Texas Development community on best stewardship practices; help maintain community resources like DevConnect, Box templates, etc.
  • Research and resolve internal and external questions as they relate to donor stewardship.
  • Ensure that stewardship initiatives are planned and executed efficiently and are in compliance with university, foundation, and federal regulations.
  • General Support & Administration Perform or assist with donor relations processes, events, communications, and activities as requested.
  • Identify methods for streamlining and enhancing efforts, particularly as they relate to donor relations.
  • Provide administrative support - scheduling meetings, providing event support, data entry, etc. - as needed for the Stewardship arm of the Donor Relations team.
  • Other responsibilities and duties as assigned.
