One Community. One Mission. One California Job Summary and Responsibilities Responsible for the development and maintenance of all work schedules. Daily posting of all schedule related activities. Correlation of daily staffing assignments. Preparation of management reports. Responsible for management of contract placement services in accordance with hospital policy and regulatory agency guidelines. Will coordinate all aspects of the contract/temporary employee relationship including new personnel orientation, maintenance of contracts and records and communication with all levels of management. Essential Functions Nursing Unit Scheduling: Prepares daily staffing sheets and ascertain completeness and accuracy. Act as a liaison for "call in" personnel and make necessary calls for replacement staff. Prepares daily staffing projection to fax to the charge nurse of each unit for the oncoming shift. Prepares all necessary paperwork for the House Supervisor. Maintains staffing changes in computer and all other documentation as received- MD notes, change slips, new hire information, termination information, licensure information, etc. Communucation: Answers telephones in a timely and professional manner. Takes accurate telephone messages and relays them to the appropriate staff in a timely manner. Communicates professionally and effectively with all staff members. Possesses excellent communication skills to effectively convey ideas, both written and oral. Operations: Monitors and coordinates the activities of staffing office on a consistent basis, making recommendations as needed to department leadership. Assists with the efficiency of the Nursing Administration Office. Cooperates with department duties assigned. Completes departmental tasks and other tasks assigned by the Director accurately and in a timely manner. Gathers data to establish monthly management reports and/or staffing reports when requested Compiles data as requested by VP/CNEO and/or Nursing Unit leadership. Prioritizes and organizes time effectively to ensure efficient operations. Demonstrates the ability to be flexible and offers to assist co-workers to promote effective workflow. Updates and informs Supervisor or Director of crucial issues or concerns. Contractor Process Management: Make sure that we receive all required documentation including licensure/certification. Submit contractor information via the Non-Employee Service Provider Request Form. Audit current travelers to ensure that certifications are up to date. Ensure that contract staff have certifications as needed to work. Contract staff without required documentation are prohibited from working. This must be enforced. Job Requirements As a Staffing Coordinator, you will be responsible for optimizing staffing levels across departments, ensuring adequate coverage and operational efficiency. Every day you will schedule personnel, process staffing requests, manage call-outs, and communicate effectively with staff and management regarding assignments and availability. To be successful, you will demonstrate strong organizational skills, meticulous attention to detail in scheduling, and excellent communication, crucial for maintaining optimal workforce deployment and service continuity.
