About The Position

This position is for a Staffing Coordinator at Northwest Community Hospital in Arlington Heights, IL. The role reports to the Director and is responsible for assessing and changing daily schedules, maintaining complete schedules, and resolving daily staffing challenges through the use of advanced scheduling software. The coordinator tracks and updates employee demographics, skills, certifications, and departmental data associated with staffing. They ensure accurate record-keeping of employees' actual hours worked to assist with appropriate payment. The role involves assessing immediate and projected staffing needs and assigning appropriate and available staffing resources for departments, based on budgeted workload statistics and coverage count reports in conjunction with current and planned patient census. The Staffing Coordinator interfaces with unit leadership and Clinical Care Coordinators to maintain awareness of staffing level issues and proactively adjust scheduling to changing volumes within schedule deadlines. They maintain updated real-time information in the advanced scheduling system for efficient personnel scheduling, facilitate schedule balancing, and process call-offs and self-scheduling shift requests. The role also includes inputting and editing schedule changes, swaps, PTP requests, leave of absences, and other changes affecting employee availability, including exception sheet edits, within scheduling deadlines. The coordinator enters and updates certifications and licensure information, records orientation schedules, new employee availability, and transfers, and assists units with upcoming employee licensure and certification renewal timing updates. They are responsible for creating all new hire schedules and holiday staffing schedules for all departments and responding to questions from units and staff regarding scheduling issues, employee demographics, skills, certifications, licensure, and scheduling system functionality, escalating issues as appropriate. Requirements

  • High School Diploma
  • Minimum of one year of scheduling experience in an automated call-center environment required

Responsibilities

  • Assessing and changing daily schedules as needed.
  • Facilitates maintenance of complete schedules and resolves daily staffing challenges through the use of advanced scheduling software.
  • Responsible for tracking and updating employee demographics including skills, certifications, point of care testing (POCT) and departmental data associated with staffing.
  • Provides accurate record keeping of employees’ actual hours worked to assist with appropriate payment to employees.
  • Responsible for the assessment of immediate and projected staffing needs and assignment of appropriate and available staffing resources for departments, based on budgeted workload statistics and coverage count reports in conjunction with current and planned patient census.
  • Interfaces with unit leadership and Clinical Care Coordinators to maintain awareness of staffing level issues to proactively adjust scheduling to changing volumes within schedule deadlines.
  • Maintains updated real-time information in the advanced scheduling system to allow for efficient scheduling of personnel.
  • Facilitates schedule balancing by job, FTE status and shift.
  • Receives call-offs and reviews self-scheduling shift requests.
  • Inputs and edits schedule changes, swaps, PTP requests, leave of absences and other changes which affect employee availability including exception sheet edits for each assigned department and within scheduling deadlines.
