About The Position

Block by Block is seeking a reliable and detail-oriented Scheduler to support our MBTA Ambassador Program through a variety of administrative and clerical responsibilities. The primary function of this role is to develop and maintain accurate employee schedules, ensuring all shifts are properly staffed and that scheduling practices remain fair and consistent. This position also requires working closely with both union and non-union employees, ensuring all scheduling decisions align with the Collective Bargaining Agreement (CBA) and remain fully compliant with established guidelines. Additional responsibilities include answering phone calls, coordinating last-minute availability changes, managing documentation, and completing other tasks as assigned by the Director of Operations.

Requirements

  • 1--2 years of scheduling, administrative, or coordination experience (preferred)
  • Experience working with union and non-union employees, with understanding of Collective Bargaining Agreement (CBA) guidelines (preferred)
  • Proficiency in scheduling software and Microsoft Office Suite (Excel, Outlook, Word)
  • Strong written and verbal communication skills
  • Strong organizational and time-management skills
  • High attention to detail when creating and managing schedules
  • Ability to interpret and apply Collective Bargaining Agreement (CBA) guidelines
  • Excellent communication skills (verbal and written)
  • Proficiency with scheduling software and basic computer applications (Excel, Outlook, etc.)
  • Problem-solving skills for last-minute schedule changes or staffing gaps
  • Ability to work independently while maintaining alignment with operational goals
  • Must have the physical capacity to sit for long periods of time.
  • Must be able to lift up to 25 lbs.
  • Use hands to handle, control, feel objects, tools or controls
  • Use fast, repetitive wrist and hand movements
  • Ability to hear and speak clearly so that listeners can understand
  • Ability to see objects that are less than a few feet away
  • Must be able to speak, read, and write the English language in order to communicate with employees and create basic reports.
  • Must be 18 years of age or older
  • High school diploma or GED required, Associate's Degree preferred.
  • Must be able to pass a background check

Responsibilities

  • Develop and publish the weekly employee work schedule using our scheduling program, ensuring all scheduling practices comply with the Collective Bargaining Agreement (CBA) for union employees.
  • Answer and direct phone calls and emails in a timely and professional manner.
  • Maintain accurate records related to employee availability, schedule changes, and accommodations.
  • Coordinate meetings with Ambassadors (employees) as needed
  • Collaborate with the customer and the Director of Operations to ensure program and staffing needs are consistently met.
  • Occasionally assist with additional administrative duties as assigned by the Director of Operations.
