About The Position

The Staff Operations Coordinator supports both People Operations (Human Resources) and Medical Staff credentialing functions. This role coordinates the flow of initial appointment and reappointment applications for medical staff, maintains clinician credentialing and privilege databases, and supports internal and external credentialing activities. The position also provides administrative support to the Medical Staff Office and Quality Department and assists with special projects, including medical staff education and performance improvement initiatives. In addition, this role supports insurance enrollment coordination, onboarding activities, and general Human Resources administrative duties as assigned. The Staff Operations Coordinator works collaboratively across HR, Medical Staff Services, Quality, and clinical departments to ensure accurate records, regulatory compliance, and efficient operational workflows.

Requirements

  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to manage multiple workflows and deadlines in a compliance-driven environment both independently & as part of a team..
  • Working knowledge of medical staff credentialing processes, HR administration, and regulatory requirements preferred.
  • Proficiency with HRIS, credentialing databases, and standard office software.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Associate’s degree or equivalent experience preferred
  • One to three years of experience in HR administration, credentialing, medical staff services, or healthcare operations preferred.

  • Education in Human Resources, Healthcare Administration, or a related field preferred.
  • Experience in a hospital or healthcare setting is strongly preferred.

Responsibilities

  • Coordinate the flow of medical staff appointment and reappointment applications, ensuring completeness, accuracy, and timely processing.
  • Maintain credentialing databases and clinician profiles, including licenses, certifications, privileges, and other required documentation.
  • Track credential expirables and proactively follow up to prevent lapses in licensure, privileges, or enrollment.
  • Support internal and external credentialing activities, including coordination with payers, accrediting bodies, clinical contracting services, outside credentialing verification vendors, and regulatory agencies.
  • Assist with Medical Staff Office administrative functions, including meeting preparation & staffing, documentation, and correspondence.
  • Collaborate with the Quality Department on credentialing-related data, performance improvement initiatives, and regulatory reporting as needed.
  • Support audits and surveys by preparing credentialing and compliance documentation.
  • Support and coordinate medical staff performance improvement process reporting and tracking, including FPPE and OPPE process, including distribution, completion, and record keeping.
  • Participates and leads efforts related to credentialing software and database upgrades and maintenance.
  • Assist with collection and organization of data and preparation of reports and statistics as requested.
  • Collaborates with other members of HR/Credentialling team.
  • Provide administrative support to the Human Resources department, including personnel file maintenance, data entry, and document management within the HRIS.
  • Assist with onboarding activities, including coordination of pre-employment requirements, orientation preparation, and new hire documentation.
  • Coordinate with the insurance enrollment team to support benefit enrollment and related onboarding processes.
  • Respond to routine employee and provider inquiries and route issues to appropriate HR or Medical Staff Services personnel.
  • Assist with general HR processes, special projects, and administrative tasks as requested.
  • Maintain confidentiality and ensure compliance with employment, privacy, and record retention requirements.
