About The Position

Under the direct supervision of the Team Lead, the Intake Specialist Intern serves as an initial point of contact for veteran applicants seeking Supportive Services for Veteran Families (SSVF). This internship provides hands-on experience in client intake, data entry, and program coordination within a mission-driven environment serving veterans and their families.

Requirements

  • Must be enrolled in an accredited college or university majoring in counseling psychology, rehabilitative counseling, or related human service field during the internship term.

  • Experience working with homeless individuals and families including veterans is a plus.

Responsibilities

  • Greet and respond to current and prospective veteran applicants regarding the SSVF application process, eligibility requirements, and program policies.
  • Look up applicant data and provide accurate information and guidance as needed.
  • Prepare and type routine forms, reports, and correspondence related to the intake process.
  • Print and mail decision letters, missing information notices, and hearing notices; withdraw files when applicants do not respond.
  • Copy, organize, and maintain required documentation in applicant files (electronic and paper).
  • Perform initial data entry and updates in AWARD Electronic Health Record (EHR) system for SSVF.
  • Maintain applicant databases, including AWARDS and Smartsheet, ensuring accuracy and confidentiality.
  • Collaborate with Program Assistants, Case Managers, and Co-Team Leads to support veterans through the intake process.
  • Develop working knowledge of SSVF eligibility guidelines and refer applicants to appropriate grant sources when applicable.
  • Assist the Team Lead in maintaining the local intake calendar and scheduling intake appointments.
  • Attend applicant processing meetings (including occasional evening meetings, if required).
  • Assist applicants with completing paperwork, explaining processes, and answering questions.
  • Support weekly reporting on eligible and ineligible applicants.
  • Provide applicants with appropriate information and referral services.
  • Help build and maintain relationships with internal teams and external community partners to support veteran housing and services.
  • Participate in training, supervision, and staff meetings; contribute positively to team culture.
  • Adhere to agency policies, procedures, safety standards, and professional ethics.
  • Perform other duties as assigned by the supervisor.
