About The Position

This position is responsible for coordinating the legal office operations and serving as the executive assistant to the General Counsel and Chief Administrative Officer at Airbus U.S. Space & Defense, Inc. The role focuses on aligning the team's work with business needs efficiently and effectively. Executive Affairs Managers work closely with assigned executives, anticipating needs, resolving issues independently, and occasionally speaking on behalf of the executive to extend their capacity. The position requires discretion and a high level of confidentiality due to access to sensitive company information. Additionally, this role provides primary support for the General Counsel, managing Legal & Compliance (L&C) technology tools, matter management, Department manuals and processes, and other L&C department initiatives. The position will assess current L&C Department operations, help define future Departmental needs, and manage an integrated L&C operations function, partnering closely with internal and external attorneys and counterparts in the Global Airbus L&C Function.

Nice To Haves

Responsibilities

  • Performs administrative duties on behalf of assigned executive under minimal supervision.
  • Manages schedule and calendar of the assigned executive.
  • Plans, coordinates and protects assigned executive's schedule; proactively resolves conflicts.
  • Schedules appointments, meetings, conferences, and travel agendas for assigned executives.
  • Assists with development of special correspondence, presentations, speeches, etc., as directed.
  • Assists with scheduling, travel plans and expense reporting of other department employees as directed.
  • Keeps assigned executive informed about, prepared for and available for upcoming commitments and responsibilities.
  • Arranges for meeting rooms, catering, and equipment set-up as directed.
  • May assist with expense reporting for assigned executive.
  • Monitors department P&L and advises assigned executive of unusual or out-of-policy expenses; notes and tracks approved exceptions to budget for staffing, materials, software, travel, etc.
  • Reviews and prioritizes incoming correspondence, distributes in the office as necessary, and coordinates appropriate follow-up action.
  • Monitors required training for staff members and ensure complete compliance with all Information Security and Trade Compliance policies and procedures for assigned executive's staff.
  • Organizes and maintains correspondence, records and other documents; follows up on pending matters.
  • Manages department materials and supplies, places special orders as needed, and otherwise facilitates smooth operation of department.
  • Plan, organize, and facilitate board and committee meetings, including overall scheduling and logistics, managing travel for individual directors, setting agendas, preparation and distribution of Board materials.
  • Support the preparation and submission of quarterly, annual and other corporate filings.
  • Maintains database of corporate records of the Company and its subsidiaries, including: Bylaws, operating agreements and related documents, Presentations, minutes and resolutions for Shareholder, Board and Committee meetings.
  • Manages registrations in states in which the Company and its subsidiaries do business.
  • Support L&C team dynamics, including through meetings, workshops, annual L&C team builders and other events (on-site and offsite).
  • Work with the L&C team to identify and track Departmental success metrics.
  • Tracks compliance with training requirements.
  • Provide insight to L&C team members to improve alignment with the company's business goals.
  • Create, monitor, and report on Departmental key performance indicators for efficiency, productivity, and fiscal responsibility.
  • Assist with creating and implementing strategic initiatives throughout the L&C Department, including technology enhancements, budget management, and allocation of resources.
  • Develop the Department's operations plan to support the L&C team's strategies and mission.
  • Evaluate, implement and support technology solutions throughout the Department.
  • Support the team with outside counsel and vendor management.
  • Establish and maintain knowledge of industry best practices to help drive process improvements.
