Role Summary Our ideal candidate has advanced proficiency in managing complex corporate learning management systems and data streams, with a proven track record of leading end-to-end program execution and compliance. This role serves as the primary project manager and compliance expert for government-funded training reimbursement programs, requiring meticulous data collection and a strategic relationship with the state as the key external compliance partner. The Sr. L&D Operations Specialist will work closely with Operations | Engineering L&D leadership to manage the operational lifecycle and maximize reimbursement opportunities.

Requirements

  • Degree in Business, Education, Analytics, HR or related area of study and 3+ years of experience or 5+ years of experience with proven success in a similar project management and compliance role.
  • Working knowledge of training processes and content in automotive manufacturing.
  • Expertise in the administration of corporate LMS structures and training tracking tools, with a focus on large-scale data integrity.
  • Familiarity with adult learning principles, concepts as well as development technologies and modalities.
  • Ability to create high-quality project deliverables with the use of brand guidelines, L&D standards and Microsoft Office, G-Suite, Jira, and analytics tools.
  • Clear and concise verbal and presentation skills, strong problem solving and critical thinking skills, expertise in Excel and Google Sheets data manipulation.
  • Ability to work effectively with senior stakeholders from various collaborating departments in a fast-paced, at times, ambiguous environment.
  • Proven track record of operating independently, demonstrating strategic creativity, meticulous attention to detail, and managing multiple complex projects simultaneously.
  • Ability to maintain composure in a dynamic environment working with large cohorts of learners.
  • Ability to travel frequently between the Rivian Training Center and the Normal plant.

Responsibilities

  • Act as the primary point of contact for the state training reimbursement relationship (e.g., Illinois ETIP), managing all day-to-day interactions, compliance checks, and documentation submissions with the state as the critical external partner.
  • Provide advanced administration and strategic oversight for multiple L&D systems (e.g., LMS, Guidepost, Smartsheet, Jira, etc.) to ensure data integrity and compliance with external government reporting requirements.
  • Lead the intake, prioritization, and distribution process for complex training requests across systems, ensuring seamless data flow for audit readiness.
  • Evaluate and make recommendations to Program Managers for vendor options and system integrations to enhance program efficiency and data accuracy for compliance.
  • Manage the daily administration and compliance of all external vendor relationships, with a critical focus on the state government reimbursement program.
  • Lead the end-to-end execution of government training reimbursement programs, managing complex, multi-stakeholder documentation collection, organization, validation, and submission for maximum compliance and recovery.
  • Maintain a rigorous, audit-ready archive of all supporting evidence, including trainee attendance records, certificates of completion, internal instructor wage verification, external vendor invoices, and proof of payment, ensuring all documentation aligns precisely with state reporting requirements.
  • Prepare and submit accurate quarterly reimbursement packages, including all mandatory forms (e.g., Company Profile, Multi-Schedule, Master Training Roster, Expenditure Summary Report), ensuring critical alignment between training rosters and financial documentation.
  • Develop and manage training reimbursement forecasts, proactively partnering with the business to identify and qualify eligible training opportunities to maximize program utilization.
  • Design and develop complex and/or unique training guides, presentation decks, and program support documentation, with a strong focus on generating audit-ready compliance materials.
  • Partner with L&D Program Managers to coordinate complex logistical and documentation requirements for major learning programs.
