About The Position

The Executive Assistant plays a crucial role in supporting our Executive team by managing schedules, handling correspondences, and facilitating communication across other departments within the bank. The ideal candidate should be detail-oriented with excellent organizational skills and the ability to multitask in a fast-paced environment. The Executive Assistant acts as a primary point of contact, ensuring that they can focus on other critical and high-priority tasks. Excellent communication skills and a proactive approach are a requirement as the EA will interact with other leaders and stakeholders. The ideal candidate should be able to work independently, be flexible, able to navigate challenges with ease, and have a solid understanding of the organization's goals to provide meaningful assistance to executives.

Requirements

  • Bachelor's degree in business administration, communications, or related field.
  • Minimum of 5 years of experience in an executive support role, preferably in large organizations
  • Experience with calendar management and travel planning and all other related arrangements.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Proven and strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Strong interpersonal skills and able to respond quickly.
  • Strong problem-solving skills and adaptability to changing circumstances.
  • Ability to maintain confidentiality and exercise discretion a top priority.
  • Familiarity with office management procedures and systems.
  • Demonstrated ability to work independently and as part of a team.
  • Experience in a fast-paced, high-pressure environment.
  • Ability to use office equipment and software efficiently.
  • Willingness to learn and take on new challenges as needed.

Responsibilities

  • Manage and maintain schedules, including appointments, travel plans, and expense reports.
  • Manage calendar, coordinate meetings and conferences, including travel arrangement and other logistics, agendas, and follow-up.
  • Screen and prioritize incoming communications and correspondence.
  • Prepare relevant documentation as needed.
  • Handle confidential information.
  • Participate in meetings and take minutes as / when required.
  • Respond to inquiries and requests in a timely manner.
  • Be able to provide administrative support for special projects or initiatives.
  • Conduct research and compile data for meetings and reports.
  • Assist in managing office supplies and inventory.
  • Facilitate communication between departments and stakeholders and be fully cautious about any confidential information.
  • Monitor deadlines and follow up items on pending tasks and approvals.
  • Implement and maintain office policies and procedures.
