Requirements

  • You have 10+ years demonstrated experience in an Executive Assistant role, supporting senior leaders, preferably in a global technology environment.
  • You play as a team. You have a great sense of TEAM and can easily report into and take direction from your EA team lead. You focus on solutions, and are comfortable navigating change and removing blockers.
  • You're a strategic partner. You have successfully supported senior leaders in high-growth technology companies, are experienced in managing conflicting priorities and prioritizing demands.
  • You're a craft expert. You have experience planning remote and in-person events and meetings at scale. You work at speed and navigate new technologies and systems that make work more efficient.
  • You thrive in a distributed workplace. You can run with little direction and make decisions based on data and experience. You're a high performer and keen to drive impact.

Responsibilities

  • Independently manage complex executive calendars, making strategic decisions to optimize leaders’ time and proactively resolve conflicts across multiple time zones.
  • Guide leaders to optimize for efficiency, using independent judgment on all actions.
  • Ensure meetings have clear agendas, outcomes, and the right attendees; proactively schedule follow-ups, reviews, and checkpoints.
  • Prepare leaders for meetings with comprehensive briefing materials and logistics; capture detailed notes and action items, ensuring seamless follow-up and execution.
  • Operate independently to create event agendas, working closely with Chiefs of Staff and influencing content and outcomes.
  • Lead the planning, coordination, and execution of high-impact virtual and in-person events (off-sites, conferences, business gatherings), managing all logistics, vendor relationships, and contract negotiations.
  • Serve as the primary point of contact for event communications, keeping stakeholders informed and aligned.
  • Act as a strategic partner to executive leadership, influencing priorities and driving complex, cross-functional projects that extend beyond the leader’s org (e.g., enterprise-wide or customer-facing initiatives).
  • Take ownership of internal communications: draft and send Slack messages, create and update Confluence pages, and prepare presentations for org-wide meetings.
  • Ensure alignment and clarity across global teams, fostering a cohesive and informed organizational culture.
  • Drive the rhythm of business for the leadership team by planning, coordinating, and executing key business cadences (leadership meetings, offsites, town halls, quarterly planning).
  • Anticipate needs and address potential challenges before they arise, ensuring leaders are always well-prepared.
  • Provide guidance on Atlassian’s expense policies for the leader’s org.
  • Independently approve expense reports and purchases on behalf of the leader.
  • Actively manage and track budgets, working with your Finance partner to determine annual allocations and ensure alignment with financial goals.
  • Oversee and manage expense reports, purchase orders, and compliance with company policies.
  • Strategically manage all aspects of travel, including complex itineraries, visa processes, and on-the-ground logistics.
  • Make independent decisions to optimize leader’s time during travel, including identifying opportunities for high-value meetings.
  • Ensure seamless travel experiences by anticipating needs and resolving issues proactively.
  • Lead or consult on Leadership Operations (LO) projects.
  • Mentor other Executive and Administrative Assistants, contributing to the growth and development of the team.
  • Ambassador for Atlassian Leadership Operations, representing our vision internally and externally.
  • Lead and contribute to LO craft improvements, best practices, and process development.
  • Leverage Atlassian’s suite (Jira, Confluence, Trello, Loom), Google Workspace, Slack, Zoom, and Workday to drive productivity and collaboration.
  • Create insightful reports and dashboards to support decision-making.
