About The Position

The Sr. Event Technology Project Manager (High-touch events specialist) will primarily serve as a lead and consultant on high-touch projects, typically with 500 or fewer attendees who are typically C-level executives and their staff. This role is responsible for project managing event registration and attendee-facing digital platforms. This entails working with clients and other stakeholders to scope, build, launch and maintain digital event experiences and actively managing the attendee registration process. This role will also manage onsite operations for related workstreams, including but not limited to badge pick-up/attendee check-in and attendee help desk. This is a client-facing role, working directly alongside Opus Project Managers, Technical Architects, Housing Managers, and Attendee Support team members, as well as external partners. The Sr. Event Technology Project Manager may fill roles as an independent workstream lead or as a lead of the entire Event Technology & Registration team assigned to a project. This role requires the ability to independently manage own work and the ability to manage a team’s deliverables over extended planning cycles. The Sr. Event Technology Project Manager (High-touch events specialist) will ensure planning deadlines are proactively met, budgets are maintained, Opus and client processes are implemented, and client needs are anticipated and exceeded.

Requirements

  • 8+ years of experience in a relevant role, with strong preference for experience in corporate event
  • Proven experience in management of small, high-touch events that require a high degree of discretion and diplomacy, sound judgment, exacting attention to detail, and highly professional communication.
  • Strong critical thinking, organizational, analytical and problem-solving skills
  • Effectively manages time to meet deadlines and support team deliverables
  • Confident communicator with strong verbal, written, and presentation skills; high attention to precise, clear, grammatically correct written communication with a high degree of diplomacy
  • Excellent documentation skills
  • Skilled at prioritizing multiple projects in high-pressure, fast-paced environments
  • Adaptable to last-minute changes and frequent interruptions
  • Always maintains confidentiality and professionalism

Nice To Haves

  • Preferred experience with event management tools such as Rainfocus, Swoogo, Stova, Cvent, Eventbase, Airtable
  • Bachelor's degree from four-year institution is preferred
  • Supervisor experience preferred

Responsibilities

  • Act as the primary point of contact for clients, internal stakeholders, and vendors for all event technology and registration workstreams
  • Serve as the overall Opus project lead on small to mid-sized events with exclusively event technology and registration services
  • Understand all workstreams supported by Opus Event Technology and Registration (e.g., technical architecture/platform configuration, housing management, customer service) and represent these workstreams to clients as Opus team lead
  • Oversee all assigned tasks on multiple concurrent projects across event types
  • Develop, maintain, and drive workback schedules
  • Lead the planning, execution, and closeout of attendee-facing event technology projects primarily for registration websites, but potentially including content/session scheduling, session scanning, exhibitor resource centers, speaker resource centers, mobile apps, and customer service
  • Demonstrate proficiency in digital platforms and tools; understands functionality, user experience, and troubleshooting; consults clients on configuration best practices
  • Create and maintain internal process documentation, while ensuring all team members are aligned and following established processes and procedures
  • Manage documentation and content for platform/tool builds, translating business objectives into detailed technical specifications, documented processes, and project plans
  • Lead complex client and team meetings, including platform demos and technical discussions within area of expertise
  • Proactively identify potential risks and develop robust mitigation strategies, escalating critical issues to senior management as appropriate
  • Delivers projects within time and budgetary requirements
  • Oversee complex onsite deployments, including for badge pick-up, session scanning, and other event technology workstreams
  • Lead and contribute to internal trainings and resources; recommend process and resource improvements
  • Supervises work of project team members from Event Technology & Registration
  • Oversees work of temporary staff deployed onsite at events
  • Acts as an event supervisor for employees in area of focus
  • May manage full-time employee direct reports
