We’re hiring a Senior Development Coordinator in Tulsa, OK. This position performs fundraising support and program assistance by providing ongoing project management for Tulsa’s events and initiatives. Work involves event coordination, volunteer management, driving revenue, and performing internal support work while collaborating with staff. This role provides administrative support for the Tulsa office. This is an office-based position that offers a hybrid schedule. Our office is located in Tulsa, OK. Requirements

  • High School Diploma/GED required.
  • At least 5 years of prior administrative support experience in a related environment.
  • Excellent attention to detail, organization of workflow and calendars, verbal, and non-verbal communication with highly effective organizational and time management skills.
  • Ability to prioritize and develop solutions for effective decision-making.
  • Ability to work independently, prioritize, and balance multiple tasks simultaneously.
  • Proficient with all Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
  • Ability to work outside of standard hours, which may involve some evenings and/or weekends.
  • Ability and willingness to travel locally throughout the territory. Requires access to reliable transportation.
  • Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving.

Responsibilities

  • Coordinate and collaborate with vendors or volunteers to implement logistics for multiple fundraising events such as the Go Red for Women Luncheon, Heart Challenge, and Heart Ball events, including infrastructure, lighting, sound, food, and beverage, etc.
  • Support the Executive Director with the Board of Directors reporting, preparation for board meetings, and communication with board members.
  • Support the Executive Director with implementing stewardship for the market and other tasks related to the market.
  • Prepare, edit, and maintain fundraising materials and presentations as well as event collateral and marketing material.
  • Coordinate the vendor contract process for all core campaign events to ensure that each site is following American Heart Association best practices, guidelines, and procedures. Track vendors’ adherence to contractual obligations and perform as agreed upon. This would include preparing/submitting proposals for Proposal Pro, Attachment A’s, and all tasks associated with that system. Work collaboratively with other Sr. Development Specialists on Heart Ball and Sweetheart-related contracts. Coordinate logistics for auxiliary events and virtual events.
  • Oversee and handle all aspects related to the office facilities and general office including ordering supplies for the office, working with the building maintenance contractor when repairs or maintenance are required, pay invoices as needed.
  • Ensure accuracy and adherence to the latest policies and practices as they relate to fiscal and event financials. Ensure expenses for events are coordinated with Sr. Director Heart Ball, Go Red for Women Director, Heart Walk Director, as well as monitor event budget. Coordinate and track invoicing, expenses, and peripheral accounts for events. Prepare and distribute reports as requested.
  • Maintain data entry of sponsorships, donations, auction items and bids and other financial gifts for Heart Ball, Teens of Impact/Sweethearts, Go Red for Women, Circle of Red, and Heart Walk.
  • Maintain the attendance, fundraising, ticket/table sales, and other records of the Teen of Impact/Sweetheart and Circle of Red programs.
  • Prepare and communicate schedules and meetings, and ensure deadlines are met. Ensure markets are meeting deadlines for successful event production.
  • Train volunteers and run assignments onsite during event. Act as volunteer liaison.
  • Travel will be required to events within Tulsa and the surrounding service territory.
