Requirements

  • Organization: Capability to manage and prioritize multiple tasks effectively while ensuring high-quality outcomes
  • Communication: Strong verbal and written skills for interacting with all levels of the company
  • Technical Literacy: Proficiency in Microsoft Office Suite, Google Workspace, or similar platforms, and experience with financial tools like QuickBooks or equivalent software
  • Discretion: High level of reliability and trustworthiness when handling confidential employee or company information

Responsibilities

  • Production Scheduling: Develop and maintain daily, weekly, and monthly production schedules based on customer demand, machine capacity, and labor availability
  • Resource & Material Planning: Utilize ERP/MRP systems (like SAP S/4HANA or Oracle NetSuite) to track inventory levels, order raw materials, and prevent shortages that may disrupt production.
  • Workflow Optimization: Identify and resolve bottlenecks in the manufacturing process to reduce downtime and improve efficiency
  • Cross-Functional Coordination: Collaborate daily with Sales (for order priorities), Procurement (for material lead times), and Production Supervisors (for shop floor execution)
  • Monitoring & Reporting: Track order status and schedule adherence, generating reports on key performance indicators (KPIs) like on-time delivery and capacity utilization
  • Problem-Solving: Adjust schedules in real time to account for machine breakdowns, employee absences, or urgent "rush" orders from clients

  • Supply Management: Monitor inventory levels and order office supplies, furniture, and equipment

  • Documentation: Develop and maintain efficient filing systems and business records
  • Technology Support: Collaborate with IT departments to troubleshoot equipment and ensure systems are functioning
  • Budgeting: Manage office expenses, track expenditures, and assist with budget preparation
  • Support Employee Onboarding: Facilitate workstation setups, coordinate badge requests, and ensure a welcoming environment for new hires
  • Meeting Management: Organize internal and external meetings, including coordinating room bookings and catering arrangements
  • Travel Planning: Coordinate complex travel itineraries, including flights, accommodations, and visa arrangements
  • Event Planning: Plan and execute company events, team-building activities, and seasonal celebrations that foster inclusivity and engagement
