About The Position

As a Sr Administrative Assistant on the Internal Audit Team, you’ll play a critical role in keeping the department operating smoothly and on schedule by providing exceptional coordination, communication, and administrative support. You’ll manage complex calendars, Executive logistics, travel, and meetings while navigating shifting priorities and building strong relationships with Leaders and Executive Assistants across Southwest. By enabling Internal Audit Leadership to stay aligned, engaged, and focused on their highest‑priority work, you’ll help strengthen cross‑functional relationships and ensure the Team’s work is delivered efficiently and professionally. With a proactive approach, strong organization, and legendary Customer Service, you’ll drive seamless operations and support meaningful departmental initiatives and Culture‑building activities. Requirements

  • Skilled in a high level of customer service delivery
  • Ability to identify conflict and must seek to clarify details
  • Skilled in office management & department procedures
  • Ability to use MS Applications – Outlook, Word, Excel, Teams, and PowerPoint
  • Ability to meet confidentiality expectations regarding confidential, proprietary and sensitive Company information
  • Ability to communicate professionally with Leaders and all internal & external Customers
  • Ability to prioritize and multitask, working with a high sense of urgency
  • Ability to proactively seek creative ways to perform tasks in a timely and efficient manner (email, deadlines, calendar management, organization)
  • Knowledge of the mission and purpose and vision of Southwest Airlines and their department
  • Understands the different functions of the department
  • High School Diploma or GED
  • Advanced level experience, seasoned and specialized knowledge in Administrative Support or Customer Service related fields
  • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
  • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
  • Must be at least 18 years of age
  • Must be able to comply with Company attendance standards as described in established guidelines
  • Ability to work in an on-call environment and flexible work schedule to support the needs of the business as needed

Nice To Haves

  • Prior experience supporting Internal Audit, Finance, Legal or Risk functions
  • Previous event management experience
  • Experience coordinating complex meetings
  • Experience with budget or expense tracking

Responsibilities

  • Work under broad supervision and may be assigned multiple concurrent general projects
  • Anticipate Leaders needs and proactively resolve scheduling conflict
  • Support and lead large event planning for the Department, including department projects and cultural activities
  • Review department and company news closely and understand them in relationship to his or her organization
  • Compose and edit correspondence with appropriate grammar and structure, including under Leader’s signature
  • Proactively manage and prioritize calendars and itinerary to ensure most effective use of the Leader(s) time.
  • Schedule and manage travel arrangements under direction of Leader(s)
  • Practice effective meeting management for self and multiple Leaders
  • Assist in onboarding of new Employees under supervision of Leader
  • Organize and maintain all files, records and other information; ensures databases are up to date
  • Serve as backup to Executive Assistant(s)
  • Own routine department processes & programs and complete processes accurately and on time while seeking efficiencies and process improvement
  • May perform other job duties as directed by Employee's Leaders
