Job Summary: The Specimen Processing-Data Entry Evening Supervisor oversees a team processing client data during evening shifts, ensuring accuracy, compliance, and excellent client service. This role involves monitoring team performance, conducting audits, addressing client inquiries, and resolving discrepancies. The supervisor also tracks key metrics, optimizes schedules, and helps maintain standard operating procedures (SOPs) to ensure smooth and efficient operations.

Requirements

  • High school diploma or equivalent (required).
  • 3+ years of experience in data entry or a related administrative role (required).
  • 1-2 years of supervisory or team lead experience, preferably in a data entry, administrative, or customer service environment.
  • Proficiency in data entry systems, CRM software, and productivity tools (e.g., Microsoft Excel, Word, and database management platforms).
  • Familiarity with Key Performance Indicators (KPIs), reporting tools, and metrics tracking.
  • Knowledge of data privacy regulations (e.g., GDPR, HIPAA) and experience ensuring compliance.
  • Strong organizational and time management skills to handle multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal, for handling client inquiries and team interactions.
  • Availability to work evening hours, Tuesday through Saturday as per the department's schedule.

  • Associate's or Bachelor's degree in Business Administration, Data Management, or a related field (preferred).

Responsibilities

  • Support the manager in overseeing the data entry team to ensure that client information is accurately and promptly recorded in the system
  • Conduct spot checks and audits on data entries to ensure accuracy and compliance with company standards.
  • Handle client inquiries related to data entry and account information, ensuring prompt and professional responses.
  • Detail oriented and highly organized, with experience supporting data entry operations while ensuring accuracy, compliance and adherence to established workflows in high volume environment.
  • Support continuous improvement initiatives and process enhancements
  • Assist in resolving client issues or discrepancies related to data entries, escalating complex cases to the manager when necessary.
  • Keep accurate records of client communications and resolutions to ensure continuity and support data accuracy
  • Work with the manager to coordinate and maintain team schedules to ensure appropriate coverage during peak periods.
  • Assist in tracking key metrics, such as entry accuracy and client satisfaction, and prepare reports for the manager as requested.
  • Monitor the team's workload and productivity, providing updates to the manager to optimize team performance and resource allocation.
  • Ensure all data entry activities are compliant with internal standards and relevant regulations, particularly regarding data privacy and client confidentiality.
  • Support the manager in maintaining and updating standard operating procedures (SOPs) for data entry and client interactions.
  • Create daily, weekly, monthly and quarterly KPI's to ensure continuous visibility of department performance.
  • Additional tasks may be assigned at any time by management
