Requirements

  • Experience & Skills: Paralegal experience is not required. Individuals with backgrounds where medical terminology is commonly used—such as EMTs, healthcare settings, or the insurance industry—are highly preferred. Strong communication skills and the ability to interact confidently with both clients and medical providers are essential.
  • Communication and Collaboration: Excellent verbal and written communication skills are required, with the ability to engage confidently with clients, medical providers, attorneys, and internal team members. Proven success in roles requiring coordination with multiple stakeholders is highly valued.
  • Technical Proficiency: Proficiency in Microsoft Office and Google Workspace (G Suite) is required. Familiarity with case management or records management systems is a plus, with particular value placed on experience using platforms such as Filevine and Arctrieval.
  • Attention to Detail and Organization: Strong attention to detail and exceptional organizational skills are essential to ensure accuracy across documentation, records, and case materials.
  • Task and Workflow Management: Must be able to manage a large workload efficiently, prioritize tasks, and maintain steady progress across multiple moving parts in a fast-paced environment.
  • Independence and Initiative: Demonstrates the ability to work autonomously, take initiative, and solve problems proactively without the need for constant direction or oversight.
  • Confidentiality & Empathy: Handles sensitive medical data discreetly and maintains compassionate, client-first communication.

Responsibilities

  • Medical & Billing Records Management: Request medical and billing records from providers, Medicare, and Medicaid, organizing received documents for review and analysis. Conduct timely follow-up to ensure all records are complete and accurate. Itemize and summarize records to calculate medical records, identify treatment dates, and flag any discrepancies that could affect case value.
  • Record Review and Redaction: Carefully review medical records to verify that treatments align with the case and identify any unrelated or sensitive information. Perform redactions to remove confidential data, ensuring that only relevant and compliant content is included in shared materials.
  • Client Coordination: Communicate regularly with clients to obtain critical case-related information and documents, ensuring all necessary details are collected in a timely and accurate manner. Provide excellent service at every interaction, keeping clients informed, supported, and confident throughout their case.
  • Case File Management: Collect, review, and organize all case-related documents, including medical records, bills, and supporting materials. Ensure files are clearly labeled, accurately maintained, and regularly updated to support smooth workflow, effective communication, and timely case progression.
  • Medical Billing and Timeline Tracking: Maintain accurate records of medical bills, payments, and outstanding balances, ensuring all financial documentation is current and complete. Track key deadlines related to billing and records retrieval to avoid delays and ensure timely case advancement.
  • Drafting Correspondence: Prepare and draft pertinent correspondence to healthcare providers, insurance companies, and clients. Ensure all correspondence adheres to firm standards and legal requirements.
  • Demand Preparation: Draft and compile comprehensive demand letters and packages, including all supporting documentation and itemized medical records. Identify policy limits, highlight key case details, and collaborate with attorneys to ensure each submission is accurate, persuasive, and optimized to maximize case value.
  • Lien Management: Manage liens from Medicare, Medicaid, ERISA plans, and private health insurers. Ensure timely retrieval, accurate documentation, and proper coordination to support case resolution and settlement processes.
  • Team Collaboration: Partner with attorneys, intake lead, and external stakeholders to align workflows, escalate issues, and support special projects.
