About The Position

The Cleveland Metropolitan School District (CMSD) serves approximately 37,000 students in 100+ schools. The Specialist III – Transportation Field Trips plays a critical role in supporting district-wide instructional and athletic programming by coordinating transportation services for school-based field trips and athletic events. This position serves as a primary point of contact, ensuring trips are scheduled accurately, funded appropriately, and executed safely and efficiently. This role operates in a fast-paced environment that requires consistent delivery of excellent customer service, frequent problem-solving, and the ability to manage daily system requests, emails, and a large volume of phone calls on the department call center.

Requirements

  • High school diploma or equivalent (associate/bachelor’s degree preferred)
  • Minimum of three (3) years administrative or transportation-related experience
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and customer service skills, including high-volume call handling on department call center
  • Demonstrated ability to manage detailed documentation and maintain accurate records
  • Ability to independently prioritize tasks and meet deadlines in a fast-paced environment
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint

Nice To Haves

  • Experience in K-12 education or public-sector transportation
  • Experience preferred with Trip Finder, Workday and Smartsheet

Responsibilities

  • Coordinate and schedule all athletic and school-based field trips and related transportation services
  • Manage Trip Finder entries, approvals, and close-outs; monitor Trip Finder activity to identify and resolve schedule changes and conflicts.
  • Apply trip scheduling rules and constraints to determine appropriate coverage.
  • Implement and maintain operational posting practices for athletic and school-based trips.
  • Coordinate with transportation vendors and CMSD drivers to match resources for trip needs.
  • Request and document quotes for trips requiring outside coverage; communicate pricing and logistics to school administrators, athletic directors, coaches, and secretaries.
  • Prepare and process transactions related to trip tracker transactions.
  • Maintain end-to-end documentation for trip workflows, including itinerary requirements for special/out-of-town travel and ensuring complete destination addresses are recorded.
  • When needed, provide training and support to school staff on Trip Finder.
  • Respond to call center phone calls, emails, and inquiries with professional customer service to families, vendors, schools, and staff.
  • Prepare reports, spreadsheets, presentations, and/or updates for department leadership.
  • Provide support for the Transportation Department by assisting with additional tasks and responsibilities as needed, actively collaborating with team members to ensure seamless operations and stepping up to help wherever required.
