About The Position

Overview: The Administrative Assistant provides administrative and clerical support to the department co-chairs in managing the daily and ongoing workflow, communication, and operations for the school’s special services department. This position works closely with other members of the district’s special services team to ensure that all operational aspects are fully supported and completed so that student needs may be met.

Requirements

  • Education and experience equivalent to high school graduation
  • Excellent organizational skills and time management skills
  • Ability to perform multiple tasks concurrently under varying deadlines
  • Strong communication and interpersonal skills
  • Ability to identify sensitive information and maintain confidentiality
  • Proficient with Google G-Suite, office and phone equipment

Nice To Haves

  • Spanish speaking preferred
  • Previous experience in an educational setting preferred

Responsibilities

  • Support the planning, initiation of and completion of administrative activities related to the efficient operation of the special services department at the building level
  • Support department staff in scheduling special services and department meetings
  • Adhere to and support the implementation of efficient procedures to ensure timeline compliance by department staff
  • Manage multiple projects simultaneously, setting priorities to comply with and meet varying deadlines with minimal supervision
  • Collaborate with multiple building and district departments to maintain student records and address student needs
  • Maintain student records in district and state databases and electronic filing system in compliance with state and federal requirements in a timely and confidential manner
  • Proficiently use Google Suite, Microsoft Office Applications, as well as financial management systems, webpage platform and student information system software for the district and state
  • Accurately utilize the district’s financial management system to enter purchases as well as track and process payments for the department
  • Enter and maintain all professional development materials and tuition reimbursement requests on behalf of department members and ensure complete entry of paperwork for district records keeping
  • Collaborate with district staff in tracking and implementing Home and Hospital Instruction (HHI) services for students
  • Establish, coordinate, and adjust daily transportation needs for students requiring specialized transportation
  • Identify sensitive information that should be immediately shared with appropriate personnel while maintaining student and staff confidentiality
  • Perform other tasks and responsibilities as assigned by supervisor(s)
