About The Position

The Facilities Administrative Assistant plays a key role in supporting Maintenance operations by sustaining the CMMS, coordinating parts ordering, managing inventory, and assisting with financial tracking and reporting. This position provides essential administrative and operational support to ensure efficient Maintenance department performance.

Requirements

  • Advanced proficiency in Microsoft Office Suite, including:
  • Word – document creation, formatting, and reporting
  • Excel – data entry, formulas, pivot tables, and reporting
  • PowerPoint – presentation creation and formatting
  • Outlook – calendar management, email communication, and scheduling
  • Ability to quickly learn and adapt to additional digital tools and systems as needed
  • Strong verbal, written, and electronic communication skills.
  • Ability to meet deadlines and manage multiple priorities in a dynamic environment.
  • High attention to detail, including proofreading for grammar, spelling, and punctuation.
  • Ability to interact professionally with employees at all levels.
  • Ability to handle company and personnel information confidentially.
  • Willingness to adjust work shifts and work overtime as needed.

Nice To Haves

  • SAP experience.
  • Knowledge of Maintenance operations.

Responsibilities

  • Provide administrative support to the Facilities Manager and Maintenance department.
  • Perform daily data entry in the CMMS, including asset management, parts and task entry, PM setup, and asset setup.
  • Collaborate with the Maintenance DC Network team to support standardization initiatives.
  • Update and maintain Maintenance performance metrics.
  • Complete purchasing and parts‑ordering forms and route them for approval and processing via P‑card or SRM.
  • Source parts through the Grainger website and external vendors.
  • Perform parts put‑away in various areas throughout the facility.
  • Track parts usage, discrepancies, and generate reports as needed.
  • Conduct daily cycle counting and reconciliation for a parts inventory exceeding $1.5M in value.
  • Assist with monthly, quarterly, and annual financial record tracking and updates.
  • Initiate Capital Appropriation Requests and support RFQ/RFP processes with vendors.
  • Locate and gather relevant information to help resolve issues.
  • Maintain condiments, janitorial supplies, and bench stock through KeepStock.
