About The Position

Special Projects Coordinator I: Performs complex professional, administrative and/or consultative work in support of a program or project. Work involves coordinating the planning, development, and implementation of goals, objectives, guidelines, procedures, schedules, priorities and/or methods for achieving program or project goals. Work requires extensive contact with department management, and external governmental agencies or organizations. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor. Special Project Coordinator II: Performs advanced professional, administrative and/or consultative work in support of a program or project. Facilitates the planning, development, and implementation of goals, objectives, guidelines, procedures, schedules, priorities and/or methods for achieving program or project goals. Work requires extensive contact with department management, and external governmental agencies and organizations. Employees at this level are virtually self-supervising and assume direct accountability for the work product.

Requirements

  • Bachelor's Degree in business administration, public administration, or a related discipline. Relevant work experience may be substituted for education on a year per year basis.
  • Special Projects Coordinator I: 3 years of experience in business analysis, project or program administration, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis.
  • Special Projects Coordinator II: 4 years of experience in business analysis, project or program administration, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). Related graduate level education may be substituted for experience on a year per year basis.
  • Valid US driver’s license at time of application. This position requires driving a state vehicle.
  • Considerable knowledge of: Auditing and investigative methods, practices and procedures
  • Considerable knowledge of: Budgeting methods and procedures
  • Proficient skill in: Preparing technical/statistical reports
  • Proficient skill in: Using computers, applicable programs, applications, and systems
  • Some skill in: Developing, interpreting, and implementing policies, procedures, and technical information
  • Some skill in: Negotiating settlement of differences without damaging relationships; applying effective questioning and listening techniques to determine other parties' positions in a direct and diplomatic manner
  • Some skill in: Speaking to present images and ideas in a clear, concise, organized, and interesting manner to optimize audience understanding and keep the group focused
  • Some skill in: Coordinating labor, materials, and equipment
  • Some skill in: Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management
  • Exercises logic and reasoning to define problems, establish facts and draw valid conclusions; makes decisions that support business objectives and goals
  • Considerable knowledge of: Statistical analysis methodologies and reporting procedures
  • Proficient skill in: Developing, interpreting, and implementing policies, procedures, and technical information
  • Proficient skill in: Speaking to present images and ideas in a clear, concise, organized, and interesting manner to optimize audience understanding and keep the group focused
  • Proficient skill in: Research and analysis methodologies

Responsibilities

  • Assists in planning, preparing and coordinating special meetings, workshops and conferences.
  • Conducts program or project analyses and develops and recommends solutions/methods to increase productivity/efficiency and streamline operations.
  • Analyzes policies and operations, identifies strategies to make improvements, and facilitates collaboration among different groups to resolve issues.
  • Evaluates statistical data and interprets results; prepares reports on program and/or project activities.
  • Performs budget-related review, planning and development activities.
  • Prepares and presents information on various programs, projects and activities to executives, departmental staff and at professional meetings, seminars and conferences.
  • Provides training or technical support and assistance in program or project areas.
  • Serves as point of contact and/or liaison for programs or special projects with other departmental staff, governmental entities and/or the public.
  • Performs other job responsibilities as assigned.
  • Evaluates, develops and interprets policies/procedures.
  • Oversees strategic long- and short-range planning or modeling activities.
  • Researches and develops programs, projects, activities or procedures.
