About The Position

Performs advanced administrative and technical support work for the Financial Management Division at Stassney Headquarters. Work involves coordinating communications, providing operational support, and assisting with recruiting, onboarding, and employee development initiatives. Work also includes developing and maintaining processes, supporting staff and leadership, and ensuring compliance with agency policies and procedures. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Essential Duties: Communication and Collaboration Assist and participates in division meetings, events, and division wide communications including email and presentation materials. Assist with division newsletter, online policy manuals, Crossroads web coordinator, Open Records Requests, Record Retention and other division processes. Operational Support Oversees asset inventory, equipment setup, and security access for division staff. Serves as liaison for facilities, safety, and wellness compliance matters. Recruiting and Onboarding Assists HR and division leadership in recruiting activities, including interview scheduling and participation in job fairs. Serves as onboarding coordinator for new hires, interns, and contractors by facilitating equipment, workspace, system access, building orientation, and related needs. Technical and Process Improvement Utilizes Microsoft applications (Excel, Power Automate, SharePoint, etc.) to improve workflows, track data, and enhance efficiency. Serves as technical writer for documenting and updating division processes and procedures. Identifies and recommends process improvements to increase operational effectiveness. Performs other duties as assigned

Requirements

  • Education: Bachelor's Degree in business administration, public administration, or a related discipline. Relevant experience may be substituted for education on a year per year basis. Substitutions for Minimum Qualifications
  • Experience: 4 years business analysis, project or program administration, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis.
  • Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.
  • Considerable knowledge of governmental laws, rules and regulations specific to area of responsibility for safeguarding information and information technology related systems
  • Considerable knowledge of auditing and investigative methods, practices and procedures.
  • Proficient skill in administrative support practices and procedures to include writing, editing and report writing
  • Considerable knowledge of budgeting methods and procedures
  • Proficient skills in Microsoft Office 365 applications (e.g., Excel, Power Automate, SharePoint, Teams) and creative design skills with PowerPoint and visual communication.
  • Proficient skill in speaking to present images and ideas in a clear, concise, organized and interesting manner.
  • Proven ability to identify, recommend, and implement process improvements that enhance efficiency and effectiveness.
  • Strong organizational and problem-solving skills, with the ability to manage multiple priorities in a high-visibility environment.

  • Bachelor's Degree in Finance, Accounting, Economics, Business Administration, etc. highly preferred.
