About The Position

Are you a detail-oriented professional who enjoys problem-solving and helping others? Achieva Family Trust is seeking a Special Projects Assistant to support our team and the people we serve. In this role, you will be the bridge between our beneficiaries and the essential services they rely on, ensuring that trust operations and the Charitable Residual Program run smoothly and efficiently. The Special Projects Assistant provides vital support to the Achieva Family Trust by coordinating communications with beneficiaries and their representatives. This role focuses on the timely processing of disbursements for the Charitable Residual Program, monitoring operational activities, and maintaining the integrity of our data and filing systems. You will play a key role in tracking trends and ensuring internal compliance across all departments. Reports to the Trust Administrative Supervisor.

Requirements

  • Minimum of three (3) years of administrative or operations experience preferred.
  • Excellent organizational and interpersonal skills with a strong focus on customer service.
  • Proven ability to work collaboratively within a team environment.
  • Proficiency with computerized databases and spreadsheets (Excel/Google Sheets) required.
  • Must be able to pass required background checks, including Act 33, Act 34, and FBI clearances.

Responsibilities

  • Serve as the primary contact for inquiries regarding Achieva Family Trust and the Charitable Residual Program via phone, email, and fax
  • Provide detailed information about services and respond to specific questions regarding individual accounts.
  • Retrieve, collect, and evaluate data to support program operations and informed decision-making.
  • Oversee the purchasing process for Charitable Residual Account beneficiaries and ensure vendors are paid accurately and on time.
  • Scan and upload documents into electronic files, ensuring strict adherence to naming conventions and filing accuracy.
  • Monitor operational processes across all AFT departments; identify, track, and report problems or trends to the supervisor.
  • Ensure all documentation meets internal compliance standards for timeliness and completeness.
  • Maintain databases and generate reports as needed to support quality assurance.
  • Assist with special projects and other duties as assigned to support the mission of the Trust.
