About The Position

The Special Projects Administrator is responsible for supporting the Company’s strategic initiatives and ensuring the smooth execution of special projects. This role requires a detail-oriented professional who can effectively present and demonstrate the features and benefits of SMD authorized products and travel packages to guests and team members.

  • Experience using CRM systems (e.g., Zoho) for member engagement and feedback collection

Responsibilities

  • Present and demonstrate the features and benefits of SMD authorized products and travel packages to prospective and existing clients.
  • Assist with the control and responsibility of the QA process, ensuring accurate and timely documentation flows within the department.
  • Finalize sales contracts, guaranteeing compliance with company policies and legal requirements.
  • Cross-reference all client contract information to ensure accuracy and completeness.
  • Build and maintain positive relationships with customers, partners, and internal teams to foster collaboration and support project success.
  • Offer complete administrative assistance to the Specialty, Virtual, and Frontline Sales teams.
  • Ensure accurate data entry into administrative software.
  • Verify contracts and update notes in CRM software accordingly.
  • Knowledgeable in sales, administration, and product details to address inquiries from guests, sales staff, and administrative teams.
  • Sales recovery and cancellation management, reaching out to guests who cancel to attempt to save the sale and document all interactions.
  • Use CRM software to send emails, gather feedback and identify areas for improvement on all cancellations not recovered.
  • Proactively call, text and take all necessary steps to verify deals ensuring timely payment for finalized sales.
