We are currently seeking a professional and reliable Special Events Coordinator/Administrative Assistant for our an association located in East Orlando, FL. This position is responsible for coordinating, and executing community events, while providing administrative support to ensure smooth HOA operations.

Requirements

  • Have previous Office or administrative experience
  • Be professional, organized and self-motivated
  • Be able to work independently with little supervision
  • Possess strong written and verbal communication skills
  • Have a proficiency with Microsoft Office and general computer skills

Responsibilities

  • Organize all resident activities including events, exercise classes, theme parties, card games, meetups, etc.
  • Assist in the coordination of and development of new and existing clubs that reflect the interest of the community
  • Conduct assessments to determinethe activities which the residents would be most interested in participating in.
  • Manage all areas of special events, games, and entertainment while encouraging participation
  • Maintain an organized filing methodology
  • Plan, organize, and execute community events, including at least two social events per month.
  • Coordinatelogisticssuch as venue setup, catering, entertainment, and resident registration.
  • Track event budgets and expenses to ensure adherence to budget.
  • Maintain a calendar of community events and provide regular updates to residents and staff.
  • Assist with marketing and communication for events via flyers, email notifications, social media, and digital signage.
  • Organize and provide all decorations for events and maintain inventory of all event accessories.
  • Coordinate all required staffing and volunteers, delegating duties and responsibilities before, during, and after.
  • Organize and implement seasonal decorations at Fitness Center.
  • Assist and support division with general office duties
  • Create, maintain, and enter information into databases, scan, copy and file documents
  • Prepare and provide reports, meeting materials, work orders, and other documents
  • Assist in account setups and onboarding
  • Provide service and support to customers with inquiries, account information, and other requests
  • Utilize computer systems to maintain accurate data and organized filing
